SUMMARY

Responsible for direct interaction with key accounts and providing support for logistics services required by each. Oversees daily activity on logistics accounts to include but not limited to: account management, move management services and ILIST administration. Assists Logistics Director with task completion upon request and in the Director’s absence.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Requires attention to detail to the move management aspect of Logistics services. It encompasses all facets of daily interaction with key accounts and includes but not limited to the following:

Move Management Services

  • Receiving shipping instructions from accounts and verifying that the information is accurate.
  • Preparing cost estimates.
  • Contracting 3rd party vendors in specific market areas for assigned task.
  • Preparing contract/proposal order for service and providing it to the customer.
  • Contracting origin/transportation/destination services with 3rd party or local services
  • Recording all information within the IMIS system regarding shipment and service provider info.
  • Notification to customer of load dates and transportation times
  • Insure that load date and contracting agent has performed services to the customer’s satisfaction and have fulfilled all obligations
  • Track the transit times to insure a timely delivery to meet the customer’s deadlines.
  • Pre-call destination to inform them of the inbound shipment and obtain information on delivery instructions.
  • Confirm that delivery has been fulfilled to customer’s satisfaction and the contracting agent has completed their obligation.
  • Update all tracking information in IMIS.

Administration Responsibilities

  • Back-up HOR Site Lead
  • WMS activity: Articles Entry; Create work orders; Pull Sheets
  • Audit terminal/carrier paperwork prior to pre-bill
  • Pre-Bill All Shipments
  • Revenue distribution
  • Update databases and customized spreadsheets with current activity
  • Daily registrations
  • Creating shipping labels
  • Trace shipments
  • Obtain POD information.
  • Maintain PO Summary Reports
  • Audit and maintain weekly Unbilled Report for assigned shipments.
  • Assists in Maintaining Acceptable Collections Report.

Inventory Management Responsibilities

  • Able to work and navigate Windfall Inventory Management System.
    • Daily & Monthly Responsibilities include: creating and processing work orders; cataloging work orders; creating and generating customer specific reports (e.g. inventory exception, square footage reports).
  • Aid warehouse by cross referencing inbound purchase orders.
  • Coordinate dock appointments with carriers and maintain warehouse calendar with up to date information.
  • Liaison between accounts and warehouse for inventory inquiries.
  • Back-up Inventory Specialist; as needed to complete work orders and required reporting.

Supervisory Responsibilities

Responsible for assisting in ensuring scope of work is performed correctly and in a timely fashion. Also acts as overall administrative supervisor in Director’s or fellow staff member’s absence.

  • Intermediate requirement in Microsoft Word, Excel and Warehouse Management System.
  • Minimum keyboard skill level of 40 wpm.
  • Must have strong communication (written/oral) and customer service skills.

EDUCATION and/or EXPERIENCE

One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS

Ability to read and interpret documents such as rules, instructions, forms, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
