Position Title: Facilities Manager

Reports to: Director of Operations

Job Status: Salaried Salary Range: $41,600 - $46,800 (DOE) + see benefits @ gsmit.org

PURPOSE OF POSITION

The purpose of this position is to manage and perform limited semi-skilled/skilled manual work involving operations, custodial/housekeeping, and maintenance of buildings, equipment, grounds, and related facilities.

KEY AREAS OF RESPONSIBILITY

The following duties are typical for this position. The omission of specific statements of the duties does not exclude them if the work is similar, related, or a logical assignment for this position. Other duties may be required and assigned by the supervisor.

General: Effectively manage the GSMIT campus, including grounds, buildings, miscellaneous structures, and systems to support the mission and programs of the Institute. Ensure the campus and facilities are maintained according to the framework provided under a Cooperative Agreement and Maintenance Sub-Agreement between GSMIT and the Great Smoky Mountains National Park.

Administrative:

  • Manages a team of maintenance staff and volunteers in completing tasks; ensures timesheets and other responsibilities of managing people are adequately carried out.
  • Coordinate and liaise between GSMIT and National Park Facilities staff on overlapping needs and projects.
  • Develops annual Facilities budget with input from the organization and in coordination with management. Maintains an inventory of equipment.
  • Ensures that all facilities activities comply with the Great Smoky Mountains National Park-Tremont Maintenance sub-agreement, applicable laws, and regulations
  • Maintains and carries out a preventative maintenance program for all facilities and vehicles.
  • Follows safety procedures, utilizes safety equipment, and monitors the work environment to ensure the safety of employees and other individuals.
  • Prepares or completes various forms, reports, correspondence, timesheets, or other documents.
  • Administers MaintainX work order system to track maintenance requests and resolution; utilizes standard software tools (Google Suite, MS Suite)

Maintenance:

  • Manages general maintenance work on buildings, equipment, grounds, and related facilities in a timely, cost-effective manner; performs limited skilled and semi-skilled facilities and grounds maintenance activities as needed.
  • Identifies and manages necessary MEP (Mechanical, Electrical, Plumbing) systems using in-house and contracted services
  • Ensures safety systems are in full operation at all times.
  • Develop and implement small-scale improvement/repair projects
  • Ensures adequate supplies and other needed materials are available in a timely manner

Grounds:

  • Manages general grounds maintenance tasks, such as mowing grass, trimming shrubbery, raking leaves, shoveling snow, picking up and disposing of debris/litter, and checking buildings and grounds for potential fire hazards.
  • Ensures longevity of the tents at the Tremont "Tent Village" through a preventive maintenance and replacement program.

Custodial/Housekeeping:

  • Ensures various custodial tasks such as cleaning restroom areas, vacuuming/sweeping floors, mopping floors, cleaning windows and walls, cleaning woodwork and light fixtures, replenishing soap and paper supplies, or emptying trash receptacles are completed based on programmatic needs.
  • Manages Campus recycling program, including transporting materials to the county recycling center(s) via staff or volunteer efforts.
  • Rodent control using mandated Great Smoky Mountains National Park methods.

Fleet:

  • Ensures vehicles, equipment, and tools are properly maintained, including inspecting equipment, refueling vehicles, checking fluid levels, replacing fluids, greasing equipment, and washing/cleaning vehicles.
  • Schedules appropriate service/maintenance for department vehicles.
  • Trains new staff on “best practices” to use in safely driving through the GSMNP and reduce wear and tear on company vehicles.
  • Ability to pull a utility trailer.

Technology:

  • Maintain campus A/V system
  • Act as Point of Contact for IT/Telephone network hardware issues (analog and IP phone systems) with ATT and other service providers

ADDITIONAL RESPONSIBILITIES

  • Provide assistance or backup coverage to other employees or departments as needed.
  • Participates in company-wide staff days and trainings throughout the year to build organizational effectiveness, culture building, and working towards an equitable workplace.
  • Plans and manages “volunteer day” events 1-2 times yearly to support campus needs and community outreach programs.

POSITION REQUIREMENTS

Experience & Education:

  • High school diploma or GED minimum, Undergraduate degree in Facility Maintenance or related field desired; (5) years previous experience and/or training that includes building/maintenance trades, supervision and management, general construction, building maintenance, equipment maintenance, or grounds maintenance; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
  • Ability to operate a computer and appropriate applications. Ability to operate a vehicle with a manual transmission and tow a trailer.
  • Ability to operate various machinery, equipment, and tools associated with department projects, including a motor vehicle, mower, edger, blower, chain-saw, carpentry, painting, plumbing, electrician, or mechanic tools.
  • Familiarity/experience with commercial kitchen equipment and operations

Environmental Factors: Performance of essential functions may require exposure to adverse environmental conditions, such as dirt, dust, pollen, odors, wetness, humidity, rain, fumes, temperature and noise extremes, machinery, vibrations, electric currents, traffic hazards, bright/dim light, toxic agents, disease, or pathogenic substances.

Physical Ability: Tasks require the regular and sustained performance of moderately physically demanding work, typically involving some combination of climbing and balancing, stooping, kneeling, crouching, and crawling, and that generally involves lifting, carrying, pushing, and/or pulling of moderately heavy objects and materials (20-50 pounds).

Vehicle Utilization: Requires possession and maintenance of a valid Tennessee driver’s license.
