Office Supervisor

Full-time / Monday to Friday (no weekends)


Summary:

The Office Supervisor oversees the pain management practice's administrative, clinical, and operational functions at the designated location.

Responsibilities:

  • Directs and supervises personnel in the day-to-day practice operations to improve productivity and customer service for efficient, quality healthcare. This includes establishing work schedules, practice assignments for staff, recruitment, staff development, employee relations, performance appraisals, and monitoring time/attendance.
  • Recruits, interviews, hires, and trains new clerical staff.
  • Collaboratively works one-on-one with the practice providers, administrative staff, and medical assistant staff to promote the office's overall performance by managing healthcare services cost, quality, and delivery.
  • Responsible for knowing or learning the role of each position in a physician's office.
  • Maintains and implements new office policies.
  • Monitors patient/employee relations and patient/employee satisfaction activities using periodic patient/employee surveys.
  • Develop and implement action plans to increase employee engagement and improve patient satisfaction while demonstrating the ability to use tact and diplomacy when dealing with patient complaints and employee relations issues.
  • Develop and implement appropriate action plans to enhance practice performance.
  • Develop weekly/monthly/yearly reports, compose meeting minutes, and deliver presentations/reports to staff. Maintains open communication lines with physicians, providers, and staff.
  • All other duties as assigned within the scope and range of job responsibilities.

Minimum Qualifications:

  • (3) years of medical office management experience.
  • Preferred, associate degree from an accredited college or university.
  • Must have knowledge of the internet and Microsoft Office software (Word, Excel, PowerPoint, Outlook).
  • Must have excellent written and oral communication skills, including exceptional customer service.
  • Must be able to work a flexible schedule, if needed.
  • Must be organized, and able to multi-task and prioritize.
  • Must establish and maintain effective working relationships with doctors, clinical staff, co-workers, and the public.
  • Must be able to work individually as well as within a team.
  • Must be able to follow both verbal and written instructions.
  • Must have a working knowledge of the healthcare field, medical specialty, and medical terminology.

Driving/Travel:

The employee must have reliable transportation. Travel for this position may be required, up to 40%. While the primary workplace may be closest to the employee’s home, work assignments could be in any of the company’s locations.
