THE POSITION

Look no further, the Department of State is seeking an Administrative Assistant 1 to complete our team. DESCRIPTION OF WORK

As an Administrative Assistant 1, you will work closely with the Civic Engagement and Language Access Coordinator to support our multilingual voter education efforts and civic engagement programs. No day is the same in the Election Voter Registration Division. Key duties will include:

  • Assists with all Bureau calls and walk-ins. Spanish or Chinese fluency is preferred but not required
  • Reviews election related publications and instructions and provides recommended revisions to Division Chief and Civic Engagement & Community Impact Programs Manager
  • Researches complaints and resolves problems brought to the Bureau regarding election related matters
  • Enters data for various statistical reports required by the National Voter Registration Act (NVRA) and Pennsylvania Voter Registration Act (PVRA)
  • Coordinates and manages Bureau requests for translations from vendors
  • Responds to inquiries received /drafts and prepares correspondence regarding the administration of the state and federal election law
  • Coordinates reporting of election results with county election officials
  • Assists the Division Chief and Civic Engagement & Community Impact Programs Manager in the planning and development of projects, including the annual county election officials' conference, ballot certification, the Governor's Civic Engagement Award, the county language access workgroup and reapportionment of election districts

Work Schedule and Additional Information:

  • Full-time employment
  • Work hours are 8:30 AM to 5:00 PM, Monday - Friday, with 60-minute lunch.
  • Telework: You may have the opportunity to work from home (telework) part-time. You will be required to be in the office 3 days per week and required to be in the office Wednesdays. In order to telework, you must have a securely configured high-speed internet connection. If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg.
  • Salary: In some cases, the starting salary may be non-negotiable.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • Such training as may have been gained through graduation from a four year college or university or any equivalent combination of experience and training.
  • Applicants will be considered to have met the educational requirements once they are within 3 months of graduating with a qualifying degree/credits.

Additional Requirements:
  • You must be able to perform essential job functions.


Preferred Qualifications (not required):

  • Fluent in Spanish or Chinese.
