The Events Coordinator will report into the Senior Events Manager and work closely with leadership teams to execute both private and public events. This will be a “go-to” person ensuring the flawless execution of events and experiences across Tree House properties. The Events Coordinator will focus on exceeding our clients’ expectations and work to turn ideas and dreams into reality. This position requires exceptional organizational skills, creative problem-solving, effective multitasking, and (most importantly) a passion for planning memorable events.

This position is full-time, and will primarily report into our Deerfield, MA location, with regular expected travel to other locations and offsite for event-related tasks. This position requires frequent evening and weekend availability.

As the Tree House Events Coordinator, you will be responsible for the following:

  • Assist the Senior Events Manager in developing a robust schedule of public and private events including: live performances, private celebrations, professional meetings, and charitable events
  • Coordinate logistical services for events as assigned inclusive of equipment rental and set-up, audio/visual support, food/beverage service, décor, linens, etc.
  • Consistently communicate and coordinate pre-event details as assigned with all internal stake-holders, communicating any necessary print collateral or marketing materials, equipment needs, special order approvals, and/or any other event
  • Provide on-site event coordination as assigned overseeing event-specific teams to complete set-up, execution, and breakdown for events
  • Responsible for exceptional guest satisfaction during events, i.e., greeting guests, seating, identifying VIP’s and expediting special requests
  • Participate in post-event debriefs and assist with bill reconciliation, and completion of financial reports
  • Oversee a consistent and on-brand schedule of live music performances at various Tree House taprooms with responsibilities including: booking, logistics/production coordination, maintaining web-based events calendars, and ensuring timely payment of performers
  • Maintain web-based event calendars and distribute printed promotional materials
  • Coordinate hospitality requirements for touring artists/personnel including catering, lodging, and transportation
  • Assisting in orientation, training and development of new Events Team members
  • Any and all other duties as assigned

Position Requirements:

  • At least 1-3 years working on music or entertainment events as an event service lead
  • Experience in both small and large scale events ranging from private functions to large public functions is a must.
  • Ability to work early, long hours with flexibility and the ability to work beyond normal working hours, on weekends, and in other positions temporarily, when necessary to ensure successful event set up, execution, and break down
  • Proficiency in Google Suite software required, as well as the ability to learn and comfortably work in multiple software platforms used within the business
  • Exceptional communication skills- including the ability to be both thoughtful and succinct in communicating and an active listener
  • You are self-motivated and able to work autonomously, with a focused and hard working attitude
  • A quick learner who is able to work with minimal or no supervision
  • Passion and desire to continuously self assess and improve
  • Ability to multitask and work lucidly in a time sensitive environment
  • Exceptional troubleshooting skills and common sense with the ability to pivot plans quickly in order to coordinate corrective actions needed
  • Meticulous attention to detail
  • Must be able to lift 50 lbs, and push 150 lbs and perform the physical requirements of the job
  • Must be able to bend, lift, reach, and stand on your feet for many hours
