About Young Invincibles:

Young Invincibles (“YI”) is a non-profit working to expand opportunities for young Americans ages 18 to 34 and amplify the voice of our generation in the national political conversation. Founded by and for young adults in the summer of 2009 during the debate over health care reform, YI has quickly grown into a leading voice for young people on the issues of health care, higher education and employment. The organization has achieved major successes in areas ranging from the regulation of college health plans to Pell grants, and has successfully engaged hundreds of thousands of young adults online, through a network of over 100 partner organizations.

POSITION DESCRIPTION: 

Young Invincibles (YI), a national young adult research and advocacy organization working to advance economic opportunity for young adults, seeks a Finance & Operations Manager for its Washington, D.C. headquarters. The Finance & Operations Manager will be a vital part of the Operations team as he/she/they will provide administrative and logistical support to the Operations team. The position requires the candidate to be highly organized and efficient. They should have a keen eye for detail and knack for creative problem-solving. The Finance & Operations Manager will be responsible for day-to-day financial management as well as working with the rest of the operations team to build out key organizational structures and procedures. This includes multi-office support. Young Invincibles currently has office locations in CO, IL, TX, NY, CA and DC. 

This is a key operations team position, leading and overseeing the finance and operations team, to include an internal coordinator, as well as external accountants. As the team continues to seek ways of improving YI’s systems, this position will have the opportunity to work with all parts of the organization. He/she/they must have a strong internal motivation and must be comfortable juggling multiple projects and tight deadlines. The operations team is at a critical moment in time - developing and implementing new and exciting ways to modernize and integrate within YI.

The Finance & Operations Manager must be able to work efficiently in a fast-paced environment that requires an ability to adapt to shifting priorities, a sense of urgency, and a commitment to excellence. They must be comfortable in a start-up style atmosphere that requires creativity, initiative, and a sense of humor.
 

Reports to: Senior Director of Operations and Finance

Salary: $78,000

Principal Responsibilities: 

Primary Duties and Responsibilities:

Finance

  • Manage YI’s day-to-day finance activities connected to its $7M+ budget. 
  • Audit lead for annual financial audit and 990 filings. 
  • Manage YI’s restricted net assets, including making decisions related to overhead expenses. 
  • Lead YI in innovating our financial systems/processes. 
  • Manage YI’s internal controls and ensure GAAP/IRS compliance. 
  • Assist Senior Director of Operations & Finance and Executive Director in the budget management process, including creation of regional-specific & organizational budgets, as well as budget tracking and reporting.
  • Manage YI’s accounting system, funds intake processes, credit card system . and oversee AP, AR, MEC, and EOY processes.
  • Manage vendor relationships, including outside accountants and auditors.
  • Review and analyze financial statements. Work with and direct external accountants on chart of accounts, GL allocations and adjusting journal entries, when needed. 
  • Conduct meetings with program directors, subsidiary, fiscal and sponsee to review project financials and explain how those numbers impact their budgets/future goals. 
  • Update  YI’s accounting policies/manual and keep current.
  • Work with Sr. Director of Operations and Finance on various finance strategies. 
  • Train new staff on finance and operations policies and procedures. 

Grants  Management 

  • Administer the complete life cycle of small and large state and federal government and private grant contracts and subcontracts, including but not limited to: managing grant financial reporting, monitoring the budget and spending status of assigned grants, and ensuring requirements for monitoring and financial reporting are met for all federally funded grant programs as required by 2 CFR Part 200.
  • Develop budgets for new grant proposals, monitor budget vs. actual results for individual grant programs on a monthly basis, and recommend grant budget revisions when needed, with the collaboration of finance, program and development staff.
  • Prepare, complete, submit and ensure accuracy and timeliness of all financial and close-out reports for all grants.  Assist with financial oversight and management of grant award funding and communicate with sponsor on questions/issues.
  • Develop and implement systems to track reporting deadlines and requirements for all grant funded programs and to organize all grant finance documentation and records in a clear and consistent manner.
  • Manage time tracking system for all grant funded positions and analyze allocable expenses to ensure compliance with all funder requirements and policies, including 2 CFR Part 200 for Federal Awards.
  • Facilitate and participate in all audits related to grant finance and compliance including the Single Audit process for federally funded awards.
 

Contracting

  • Manage YI’s contract and invoicing process.
  • Review contracts for content/language and financial implications. 
  • Work with program directors to ensure smooth cash flow, when applicable, related to the release of payments for sub grants and/or contracts. 
  • Work with YI’s legal vendor to create new agreements. 
  • Track open contracts and work with contract managers to confirm deliverables and process payments. 
  • Improve collections  process and procedures.

Operations

  • Serve as the point person for day-to-day office management and operations.
  • Assist with lease management. 
  • Work with building management on topics such as security, emergency evacuations, and suite maintenance. Manage YI’s building portals.
  • Supervise coordinator while creating an environment where team members are empowered to collaboratively problem solve
  • Manage YI’s compliance and tracking across all offices related to: 
  • Lobbying (All registered states)-Ensuring lobbying check points are in place and we are in state compliance. 
  • Document retention and records management- Box.com. 
  • Charitable/Business Registrations- Tracking, new registrations, and renewals. 
  • Insurance policies- Including renewals, broker transition, and shopping policies. 
  • This position will also take on other administrative and operational duties as assigned.


Qualifications:

  • BA/BS degree in finance, accounting, business administration or a related field.
  • Familiarity with nonprofit accounting principles and compliance requirements.
  • Demonstrated proficiency with a minimum of three years of hands-on experience in effectively managing grants and overseeing financial operations within the nonprofit sector. This includes working knowledge of grant management processes, budgeting, financial analyses and interpretation, financial reporting for a diversity of government and private funders, and relevant regulations and requirements to meet government reporting requirements for grant financial activities, including the Code of Federal Regulations/OMB Uniform Guidance. Experience with Single Audit process for government awards.
  • 2+ years of supervisory experience in accounting/finance/nonprofit administration or other applicable field, demonstrating ability to build relationships, build trust, share ideas, and accomplish work. Help others become more effective through strengths, expectations, and coaching. Hold yourself and your team responsible for performance.
  • Competency using accounting/financial software, spreadsheets, and data management systems (Sage Intacct, bill.com, spreadsheets (pivot tables, VLOOKUPS, etc).
  • Excellent communication skills: demonstrates exceptional proficiency in conveying ideas and information through articulate written expressions and clear verbal communication, fostering effective and engaging interactions.
  • Highly organized, motivated, and detail-oriented: Plans ahead and finds alternative paths when needed to accomplish a task.
  • Critical thinking and problem-solving ability: adapts to the evolving needs of the organization and thinks ahead to develop solutions to challenges.
  • Must show a high level of discretion with confidential and sensitive information. 
  • Strength in multi-tasking, goal-setting and problem solving, often under tight deadlines.
