POSITION SUMMARY:

The Laboratory Office Medical Assistant supports the efficient operation of the clinical laboratory by providing administrative and clerical assistance. This position involves a combination of office management, clerical duties, billing objectives, and patient/provider interaction. The successful candidate will contribute to the smooth functioning of the laboratory office, ensuring the timely and accurate completion of data entry and documents.


ESSENTIAL RESPONSIBILITIES:

• Manage front desk activities, including greeting and assisting patients, answering phone calls, and responding to inquiries from, but not limited to the EMR system and voicemails.

• Ensure a positive and welcoming experience for patients during their interactions with the laboratory while collecting relevant medical history and information required for laboratory tests.

• Schedule patient appointments and coordinate with laboratory staff to ensure a streamlined workflow.

• Maintain patient records, ensuring accuracy and confidentiality.

• Collect outstanding balances from patients while understanding and communicating patient responsibility.

• Accurately enter patient information, test orders, notes, and communication into the laboratory information system (LIS) and EMR systems.

• Effectively communicate with medical professionals, patients, and laboratory staff regarding pending laboratory tests and adjacent information.

• Assist laboratory with ensuring pending tests are completed and billed appropriately.

• Assist in managing office supplies and inventory.

• Ensure facilities are neat, clean, and in good repair, takes appropriate action to advise supervisor of required repairs and maintenance.

• Proven experience in a medical office or laboratory setting.

• Strong organizational and multitasking skills.

• Excellent communication and interpersonal skills.

• Familiarity with medical terminology, laboratory procedures, insurance, ICD and CMS principles.

• Proficiency in using office software and laboratory information systems.

• Teamwork

Ability/willingness to help supervisors with operational initiatives.


Supervisory Responsibility:

This position has no direct reports.


Required Education and Experience:

• High school diploma or equivalent; additional certification or coursework in medical assisting is a plus.

• Current or eligible to obtain American Heart Association recognized Basic Life Support (BLS) certification.


Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

While performing the duties of this job, the employee is regularly required to talk or listen. This position on occasion will require medium lifting, generally not more than 50 lbs. Maximum with frequent lifting and / or carrying objects weighing up to 25 lbs. Strong verbal and written communication skills required. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. Ability to exercise good judgment and positively influence and lead others, including handling confrontations with poise and efficiency. Repetitive motion of upper body required for extended use of machines and computers. Flexible working hours, dependability, and timeliness

Position Type/Expected Hours of Work:

This is a full-time position in an outpatient medical office setting with an 8-hour/day working schedule between 7am to 7pm (no earlier than 7am and later than 7pm) and a 1-hour lunchbreak five days a week. This position does not work any White-Wilson Medical Center P.A. observed holidays or weekends unless there is a business and/or patient need.


Travel:

This position can be expected to 0-10% to nearby White-Wilson Medical Center P.A. locations. Travel compensation is provided when necessary.


Work Environment:

This position requires regular and reliable on-site attendance. Environmentally controlled medical environment. Fast paced environment with occasional high pressure or emergent situations. Frequent exposure to bodily fluids. Possible exposure to infectious specimens, communicable diseases, toxic substances, ionizing radiation, medicinal preparations, and other conditions common to a laboratory and medical office environment.
