Litigation and E-Discovery Administrative Assistant

Cooley is seeking a Litigation and E-Discovery Administrative Assistant to join the Litigation team.

Position summary: The Litigation and E-Discovery Administrative Assistant will provide general administrative support to the members of the LEDS team located in various offices. The Assistant will also work on special projects as assigned. Specific duties and responsibilities include, but are not limited to, the following:

Position responsibilities:

  • Provide routine administrative support to the LEDS department, including assistance with organizational tasks, research, preparing reports, and handling administrative requests from LEDS team members
  • Coordinate and assist with LEDS department communications, including communications re new hires, team news and announcements, team surveys, audits, department-wide project rollouts, and Zoom and Teams channel administration
  • Assist with invoice management, including communications with litigation attorneys and service providers
  • Assist with maintenance of internal department record-keeping tools such as Agility Blue, Software Tracker, Microsoft Teams, iManage and Ironclad
  • Assist with the management and coordination of operational aspects of LEDS meetings (scheduling, reserving in person meeting locations, arranging for related purchases, meeting minutes)
  • Make necessary travel arrangements adhering to the firm's travel policy
  • Prepare and submit expense reports, check requests, travel Reimbursements, health club reimbursement forms, etc. in accordance with accounting guidelines
  • Assist with time entry
  • Assist team with the proper storage and filing of department and case team media and records in accordance with Information Governance policies and guidelines
  • Assist with updates to LEDS department guidelines, LEDS CooleyNet page and LEDS SharePoint site
  • Coordinate and assist with other special projects as required
  • All other duties as assigned or required

Skills and experience:

Required:

  • Available to work overtime, as required
  • After orientation at Cooley LLP, exhibit proficiency in the Microsoft Office suite, iManage and other firm applications

Preferred:

  • Bachelor's Degree
  • Previous administrative experience

The expected hourly pay range for this position is $23.00 - $33.00. Please note that final offer amount will be dependent on geographic location, applicable experience and skillset of the candidate.
