Job Title: Student Life Office Assistant Duration: Full-Time

Location: Laramie, WY Salary Range: $12.00 – $18.00/hr, DOE

WyoTech is seeking a candidate to assist with the day-to-day operations of the Student Life Department. This position under general supervision, will assist in answering phones, sorting mail and engaging with students that have inquiries pertaining to the department.

Primary Duties and Responsibilities

  • Assist in maintaining the Housing and Student Services database in an accurate and timely manner.
  • Answer calls to Student Life phone numbers and assist as necessary.
  • Enter all change of status paperwork into student database and forward necessary changes to the business office and financial services.
  • Enter new housing applications into student database promptly to insure accurate housing information.
  • Update reports in the Student Life databases.
  • Forward all student charges to the business office including damage, cleaning and parking violations.
  • Facilitate all moves within housing ensuring accurate record keeping avoiding inaccuracies that lead to students being moved into rooms that are already full.
  • Prepare letters to students using mail merge function including eviction, late payment, warning, and probation letters.
  • Mail letters to students and their parents as necessary after checking the “do not release” list.
  • Maintain student files accurately and promptly.
  • Facilitate a synergistic relation with the business office to ensure accurate and timely billing to students.
  • Maintain a professional relationship with students and coworkers with no fraternization with students.
  • Assist in down week cleaning and preparation for registration.
  • Assist in campus registration and housing check-in.
  • Assist in preparing check-in and key packets prior to registration.
  • Input student violations in department database.
  • Report maintenance issues to the Facilities department in a timely manner to ensure prompt services.
  • Other duties as assigned.

Associated Knowledge, Skills, Abilities & Experience

  • Be solution oriented, resourceful and proactive with a strong sense of responsibility and ownership.
  • Strong working knowledge of Word, Excel, Outlook, PowerPoint.
  • Advanced ability to work independently.
  • Must be able to organize and demonstrate initiative.
  • Must be able to handle and prioritize multiple tasks simultaneously in a fast paced, high-pressure environment.
  • Have a positive attitude and strong work ethic.
  • Excellent customer services skills.
  • Excellent communication skills (written and oral) with a consultative style.
  • Ability to promote/maintain a cooperative work environment.
  • Ability to adapt to changing work requirements and priorities that may require overtime or extended hours to include evening and weekends.
  • Willingness to respond to all call situations.

Minimum Requirement (A combination of the following experience and training, or the equivalent of, would be qualifying):

  • High school diploma or equivalent from an academic institution accredited by a regional or national accrediting agency that is recognized by the U.S. Department of Education.
  • Experience as an Office Manager.
  • Current driver’s license.
  • Knowledge of Microsoft Office
