Summary

As the Operations Manager for Ayres Vacation Rentals (AVR), you will spearhead the strategic management of vacation rental properties, focusing on operational efficiency, exceptional guest experiences, and meticulous facility maintenance. Your multifaceted role includes overseeing property maintenance, ensuring quality control, and providing adept administrative support. This position demands a meticulous approach, effective leadership, and the capability to navigate diverse responsibilities in the dynamic landscape of vacation rentals.

Duties & Key Responsibilities
  1. Vacation Rental Property Operations and Management
    1. Manage all aspects of AVR vacation rental properties, including operations, event budget, and facility maintenance.
    2. Oversee guest services, handling inquiries, complaints, and special requests.
    3. Coordinate and execute events, special programs, and ensure emergency preparedness.
    4. Develop and maintain strong relationships with guests, vendors, and internal stakeholders.
    5. Manage vacation rental contracts, negotiate vendor relationships, and ensure regulatory compliance.
    6. Assist in developing efficient property operation policies and procedures.
    7. Provide regular reports to senior management on facility operations, budget, and guest services.
    8. Supervise, mentor, and ensure training for a high-quality team, adhering to AVR standards.
    9. Conduct regular inspections, respond to escalated concerns, and support team members.
    10. Perform occasional housekeeping and maintenance duties as needed.
    11. Travel between worksites and properties, maintaining reliable transportation.
    12. Collaborate with upper management on new unit onboarding and maintain open relationships with the team.
  2. Property Maintenance and Quality Control
    1. Assist in coordinating daily, weekly, monthly, quarterly, semi-annual and annual activities related to housekeeping, maintenance, and quality control.
    2. Ensure the highest cleanliness standards and guest satisfaction.
    3. Conduct regular inspections to evaluate staff performance and enforce quality standards.
    4. Oversee and process damage claims, manage housekeeping supplies, and recruit and train staff.
    5. Review and submit departmental payroll, providing talent management and coaching.
    6. Manage operations in Sevier County, developing relationships with property owners.
    7. Perform light home maintenance tasks as required.
  3. Administrative and Operational Support
    1. Ensure vehicle upkeep, maintenance logs, and oversee scheduling.
    2. Manage maintenance, inspection, and housekeeping scheduling.
    3. Create Breezeway tasks, enforce quality control, and implement policies.
    4. Input invoices in Bill.com, create property management invoices, and review expenses.
    5. If provided a company credit card, entering expenses into Expensify.
    6. Execute NCR policies, coordinate inclement weather policies, and enforce RemoteLock quality control.
    7. Review guest feedback and marketing materials for listings.
    8. Manage 1099 vendors and organize the office and site for optimal efficiency.
