STATEMENT OF THE JOB: Under the overall supervision of the Executive Director and the direct supervision of the Community Programs Director. The Shelter Manager will provide supervision for people experiencing homelessness in our emergency shelter. Manage client records, files, and reports to ensure accuracy, confidentiality, and security of files. Oversee and maintain the daily operations of emergency shelter facilities.

ESSENTIAL FUNCTIONS:

  1. Supervise and train staff to deliver consistent and high-quality shelter services.

So That:

    • To achieve a whole person through maintaining and demonstrating a balance of kindness, competence, and care toward self, others with whom we work, and those for whom we provide care.
    • Program Staff will receive appropriate development to meet their responsibilities, via on-the-job training, out-of-office training, or other targeted techniques as needed.
    • Regularly scheduled meetings are facilitated with direct staff in conjunction with the Community Program Director to communicate about emerging and on-going department business.
    • Shelter schedules are created in a timely fashion, and all shifts are adequately covered with little to no overtime accrued outside of short-term crisis situations. If additional staff are needed to cover shifts, this is communicated to your supervisor in a quick and efficient manner.
    • You are scheduled to work during direct client service hours; and when no other staff is available, you are on call to work nights and weekends to cover shifts.
  1. Ensure Clients receive trauma-informed services consistent with agency operational policies in a safe, clean, and healthy environment.

So That:

    • High quality crisis intervention and appropriate support is provided during difficult or emergency client situations.
    • The facility is secure through the appropriate use of alarm and security functions, and you respond immediately to any breaks in security.
    • You carry out the appeal process respectfully, timely, and consistent with CAPCA and Shelter policies, procedures, and mission—including requests for accommodations.
  1. Oversee and maintain the daily operations of the shelter.

So That:

    • Thorough house checks of both the interior, and exterior are performed after each shift.
    • Ensure high quality routine cleaning is performed each day, and cleaning supplies and materials are used and stored appropriately.
    • Ensure all shelter related and non-shelter related areas are clean, organized, and well-supplied.
    • In-Kind donations are managed and well organized according to established protocol.
  1. Manage client records, files, and reports to ensure accuracy, confidentiality, and security of files.

So That:

    • Confidentiality in guest and client information is always maintained.
    • Ensure intake and exit procedures are thoroughly conducted in a timely manner, including HMIS documentation and agency required paperwork. Also, ensuring all agency required paperwork is documented in HMIS and agency data entry system by the 5th of each month.
    • All Program Staff are trained in intake procedures including how to input data into reporting systems.
  1. Work with management to ensure all emergency and housing programs are working together to achieve high-level outcomes.

So That:

  • You attend and are actively engaged in required agency meetings, such as all staff and department meetings.
  • You complete other duties as assigned by the Community Program Director.

NON-ESSENTIAL FUNCTIONS:

  1. Respects confidentiality in all aspects of the programs.
  2. Must be willing to participate in all training designed for professional development.
  3. Able to handle stress, tension and exasperation that contact with adults may bring every day.
  4. May be called upon to administer first aid at any time in the program. The incidental nature of this circumstance effectively establishes first aid as a collateral duty, rather than a primary one.
  5. Performs other job-related duties as necessary for the overall operation of the programs.

JOB REQUIREMENTS

Educational Requirements:

  1. Bachelor’s degree in human services or related field preferred.
  2. 3-5 years direct service experience in program management, scheduling, and supervision of staff.
  3. Knowledge and experience with area services, community partners, and resources.
  4. Strong competencies in Windows and Microsoft 365
  5. CPR and First Aid Certified
  6. Valid driver’s license, access to transportation with liability insurance.

Physical Requirements:

    • Good physical condition.
    • Be willing to work a flexible schedule, which meets the needs of the clients.
    • Have a valid driver's license, access to transportation with liability insurance and be willing to use vehicle for Agency related travel.
    • Must be able to travel out of area overnight to attend or conduct training or make on-site visits.
    • Able to hear and communicate orally.
    • Specific vision abilities required by this job include close, distance and peripheral vision, depth perception, and ability to adjust focus.
    • Occasionally lift and/or move up to 75 pounds. Some items may occasionally exceed this limit, use necessary protective equipment and/or get help as needed.
  1. Skill Requirements:
  • Ability to read, write and perform mathematical calculations.

  • Have initiative and ability to motivate groups of people and to stimulate group action.
  • Able to organize and deliver presentations to a variety of community organizations and staff.

Public Relations:

  • Able to represent the Agency in activities related to job title.

Currently budgeted for 12 months per year.

Rate of Pay: $ 45,000/year

Hours: Full-Time/Exempt position, Work hours managing a 24-hour facility (with varying hours), with a one-hour lunch break.
