SUMMARY

Essential Roles and Responsibilities:

  • Responsible to administer project documents, information, and database.
  • Collect, compile, consolidate project drawings, documents and maintain database.
  • Compile Project issue log, change orders and ensure it is up to date and available online.
  • Have a version control of all documents and ensure team use latest version always.
  • Maintain an organized filing system of paper and electronic documents as needed.
  • Responsible to upload a strict level of confidentiality.
  • Ensure Trade partners logistic system are in place and in compliance.
  • Responsible to distribute information to right stakeholders appropriately.
  • Support team members to upload, maintain and retrieve documents from online.
  • Support to develop workflow as requested by team members/ PM.
  • Ensure familiar with client platforms to swiftly pull out requested documents.
  • Facilitate and liaise with trade partners for any document support/ printing.
  • Be familiar with client online portals and support for uploading documents promptly.
  • Extend support for trade partners' workforce for their transport, meal support
  • Excellent in Microsoft package (word, excel, powerpoint) to keep database tidy up.
  • Develop and sustain a level of professionalism among staff, customers, and vendors.
  • Support for trade partners on-boarding logistical arrangements.
  • Coordinate with various stakeholders internally/externally
  • Responsible for project team, trade partners onboarding process
  • Liaise with client and coordinate for site access, badging and external supports
  • Follow up with all FB account holders to ensure their onboard training complete on time.
  • Support Project Manager in resource planning, optimization resolving issues
  • Ensure team receive FB equipment on time and return unused equipment to FB.
  • Perform any other work as assigned by the client/ Project Managers

Requirements/Qualifications:

  • Ability to work independently with minimal direction and oversite
  • Ability to handle sensitive / confidential information and be discreet
  • Computer knowledge of Microsoft Office: Excel, Word, Outlook Mail, Internet Explorer, Adobe Acrobat, required.
  • High level of proficiency in Excel required including data mining, report construction, pivot tables and VLOOKUP experience
  • Proficient understanding of wage and hour regulations
  • Excellent planning and organization skills
  • Well developed interpersonal and communication skills, both written and verbal
  • Strong ability to cope with difficult situations calmly and professionally
  • Strong attention to detail
  • Courteous and professional attitude with experience in dealing with the client base
  • Excellent attendance / on time record
  • Excellent follow through and ability to complete tasks on short deadlines
  • Five (5) plus years hands-on experience, preferably in like position with construction and or computer networking industry.
