Job Title: Service/ Warranty Clerk                         

Department: Service

Reports to: Service Administrative Manager

Summary

The Service/Warranty Clerk is responsible for ensuring that CMI is paid for all product maintenance parts and/or replacements covered under warranty as well as knowledge of Service Writer functions in work orders and payroll.

Essential Functions:

  1. Process warranty claims with manufacturers.
  2. Assist Service Writer as needed and work in Service Writer capacity when unavailable (open / closing work orders, payroll)
  3. Process credits and code
  4. Phone support regarding branches warranty requests
  5. Reconcile work orders for warranty claims.
  6. File equipment / delivery reports with manufactures and any PDI uploads necessary for manufacturers.
  7. Update manufactures component tracking systems, webmia, etc
  8. Keep track of CareTrack machines and adding in Active Care machines
  9. Process TechTool and Prosis invoices for customers, new and annually.
  10. Track all service contracts
  11. Oil Sample requirements per service agreements
  12. Complete and file policies with manufactures
  13. Track all manufacture updates and coordinate with branches to complete
  14. Attach all deliveries of equipment in Flyntlok & update vendors websites
  15. Complete Backlog meeting with Service Manager weekly
  16. Open work orders as requested, Add machines and Customer pages
  17. Make travel arrangements for techs & management including: flights for multiple destinations, vehicle rentals & hotel reservations when Service Writer not available.
  18. Inventory and order shop office supplies for all branches & ship out when requested
  19. General office duties (answer phones, filing, obtaining office supplies etc.)
  20. Assist Service Administrative Manager as needed

Education and Experience

  1. High School Diploma
  2. Two years’ administrative experience

Physical Requirements

This is largely a sedentary role, requiring use of typical office equipment such as a computer, laptop and cell phone. Most work is completed in an office environment. The employee will be required to stand, walk, bend and will occasionally lift up to 25 lbs.
