POSITION TITLE: Treatment Plan Coordinator

DEPARTMENT:  Dental  

NATURE OF POSITION: The Treatment Plan Coordinator will verify dental insurance, quote estimates on procedure costs, communicate estimates for dental treatment plans, create payment plans, process payments and schedule appointments as needed.

CLASSIFICATION:  Non-Exempt

SUPERVISION EXERCISED: Chief Dental Officer

MINIMUM QUALIFICATIONS:

  • High School graduate or equivalent required 
  • Experienced in customer service and clerical duties 
  • Verbal and written communication skills
  • Knowledge of dentistry and dental procedures recommended
  • Ability to understand insurance terms, (i.e. HMO/PP, EOB, Stop Loss, etc.) and payment methodologies, and        effectively negotiate with customers when required 
  • Computer proficiencies to enter, retrieve, assemble and organize data 
  • Be familiar with medical terminology 
  • Ability to work in a fast paced, high volume, and high stress environment 
  • Must be able to sit, stand, walk, bend, and/or lift for extended periods of time 

RESPONSIBILITIES: 

  • Communicates effectively with management, auditors, payers, staff, and customers  
  • Communicates with patients and/or legal guardian regarding proposed treatment plan and financial costs
  • Answers the phone and directs calls as appropriate  
  • Create financial plans and collect monies, and document financial arrangements
  • Addresses patient concerns regarding charges and services verbally and in written form in timely fashion
  • Audits accuracy of charges in EPM compared to EHR  
  • Collects and posts payments to patients accounts at the time of payment  
  • Enters, corrects, and updates patient demographics, add insurance information, perform insurance verification, and refer to biller if re-bill is required  
  • Cross-trains to cover other positions within workgroup as needed  
  • Determines and posts appropriate adjustments   
  • Enters messages into the EHR as appropriate  
  • Keeps work-space neat and organized  
  • Makes corrections to accounts as needed  
  • Meets productivity standards balancing productivity and quality of accurate charge identification  
  • Opens batch in EPM to post daily payments collected during the day; close batch for current  day  
  • Participates in agency-sponsored staff training events (safety, OSHA, etc.)  
  • Processes credit card payments  
  • Protects the confidentiality of patients and their records at all time by complying with the Clinic’s (COFMC) patient confidentiality and HIPAA policies and procedures 
  • Responsible for resolution of self pay account balances (i.e. negotiation of payment in full, payment plans, referrals for charity) 
  • Works with patients to set up payment plans and follow up on the payment plans on a monthly basis  
  • Performs other duties as assigned  
  • Presents treatment options associated with the treatment, and supports clinical and technical staff
