The Construction Coordinator will be responsible for assisting construction and development, submitting lender, bank and project draws, processing invoices, communicating with banks, vendors and contractors, contract administration, budget management, and office duties such as merging documents, creating e-sign, answering email, scanning documents, and answering phones. This person will be responsible for contractor packets, tracking release of liens, and certificate of insurance. This position requires some basic accounting skills. 

What you have already achieved: (Requirements) 

  • 2+ years of administrative office experience
  • 2+ years Construction experience 
  • Accounting or payables experience is a plus
  • Familiarity with General Contractor AIA billing a plus 
  • Excellent proficiency in computer work, including programs like Google Drive, Gmail, Google Sheets, and Google Docs or their equivalents.
  • Familiarity with any multifamily property management or construction software is a plus
  • Effective communication in a respectful, positive manner, both in writing and verbally.

What you are great at: (Responsibilities) 

  • Responsible for processing all assigned draws, reviewing them for accuracy, collecting all necessary documentation, and tracking them for submission of project funding for both new development and lending projects. Provide reporting as needed.
  • Assist with communication to bank lenders, setting up bank property inspections, submissions of bank draws, and properly relaying all communication to any complying departments.
  • Responsible for obtaining all project required subcontractor lien waivers and insurance certificates provided and up-to-date prior to draw processing; Track Notice to Owners and Obtain Release of Liens.
  • Responsible for managing invoices, coding them, and entering into our construction accounting system for payment.
  • Responsible for timely and accurate contract creation, signing, and management, product procurement, ensuring all contracts are tracked, signed, and stored electronically into the correct folder, G Drive, and construction software within 48 hours of receipt.
  • Responsible for vendor and contractor communication ensuring positive relationships with vendors, contractor set up ensuring proper insurance, licensing, W9’s.
  • Assist with opening and routing or processing incoming mail, responding to correspondence.
  • Support field project managers and supervisors with contracting, budgeting, and invoicing as requested.
  • Provide solutions to improve the performance and efficiency of the department.
  • Attend daily huddles, weekly, and monthly meetings.
