Help us help others:

We are searching for an Office Coordinator for our IDD Services who will provide numerous and varied administrative services to help keep our IDD team organized, on track, and optimally functioning. The Office Coordinator represents the office by phone and email and will complete tasks from filing, data entry, documentation, and tracking with a high level of customer service. The Office Coordinator will maintain equipment, complete various purchasing for the office, and organize meetings, travel, and events. This supportive team member will contribute to the overall goal at HCMHDD to support and encourage the success of individuals living with intellectual and developmental disabilities.

You will get to:

  • Answering main office line and transferring calls as needed.
  • Providing customer support to all callers and/or directing them to the right extensions.
  • Assisting in maintaining the filing in Individuals records for both program and medical departments.
  • Tracking of units/dollars by pulling C72 screens from CARE.
  • Completing data entry for Anasazi
  • Enter data into Vesta for EVV for PAS/HAB, Respite and DH
  • Monitor all EVV transactions to ensure data entry deadlines are met and no errors are occurring.
  • Ensures invoices to vendors are processed and payments are made on time.
  • Attends monthly meetings with Supervisor to provide updates on submission of billing into Vesta and Anasazi.
  • Tracks Adaptive Aid and Dental monies to ensure funds are available before submitting purchase orders for services.
  • Maintaining Hill Country’s office equipment and requesting service when needed.
  • Assist with annual Hill Country MHDD centers inventory tracking.
  • Tracking of consumer finances and keeping reconciliations up to date with all receipts and signatures.
  • Assist with transportation or service provisions with Individuals when needed.
  • Communicate effectively with all members of the team, including DSP’s, Supervisors and other HC staff.
  • Respond timely and appropriately to emails and voicemails.
  • Works cooperatively with all Supervisors and Staff.
  • Participates directly in establishing and maintain a clean, safe and healthy environment for the individuals.
  • Participates in and contributes to seminars, workshops or meets for professional growth, educational and improved communication.
  • Performs special assignments to facilitate unit operation.
  • Adhere to all Hill Country MHDD policies and procedures.
  • Maintains a person-centered, customer-oriented approach with all internal and external stakeholders.
  • Driving company or personal vehicle as required for service delivery and professional development.
  • Performs other duties as assigned by Manager/Director.
  • Job description may be changed to reflect job updates and requirements.
  • Maintain certification in CPR AED.
  • Responsible for staying current in mandated training and receive additional training as appropriate.

You’ll definitely need:

  • High school diploma / GED.
  • Two (2) years' experience in duties related to the position.
  • One semester (15 semester hours) of college work may substitute for each six (6) months experience.
  • A valid Texas State Driver’s License.
  • Current automobile insurance and the ability to travel to individuals when necessary.

We’ll also want you to:

  • Have two years of experience in an administrative role (experience in the field of intellectual and developmental disabilities is a plus!!!).
  • Employ excellent verbal and written communication skills to engage effectively.
  • Ability to respond to common inquiries or complaints from customer and members of the community
  • Ability effectively present information to positions' supervisor and public groups.
  • Maintain a well-organized calendar, files, and prioritize effectively ensure completion of duties.
  • Maintain accurate and timely documentation and with a high level of typing and communication proficiency.
  • Sustain a calm demeanor when under pressure to handle sometimes difficult situations.
  • Provide exemplary customer service and care to your team.
  • Work autonomously to complete assignments.
  • Work cooperatively with others and be punctual and consistent in attendance because your people will rely on you!
