EDUCATION / EXPERIENCE

Must be at least 18 years of age with a High School Diploma, a GED or equivalent experience. Experience in Accounts Payable preferred with at least six months related experience and/or training.


SUMMARY

This position reviews vendor invoices for accuracy, completeness and proper authorization as well as ensures supporting documentation is provided while understanding the Accounts Payable function including integration with purchasing, receiving and general ledger account coding process.


ESSENTIAL JOB FUNCTIONS

  • Compares purchase orders to invoices, identifies, and investigates any variation.
  • Understand complete process of check requests, reports and processing checks.
  • Ensure that all reports have been run for checks to be processed and three-way match has been completed.
  • Prepare check requests as assigned by Accounts Payable Supervisor.
  • Know all authorization limits for purchasing and authorizing payments.
  • Keep updated on all motions approved by EDC Board concerning purchases by enterprises.
  • Responsible for filing when necessary.
  • Responsible for general office duties such as mail and shredding
  • Enter vendor invoices when necessary.
  • Understand the purchase order system and the process of issuing a purchase order.
  • Follow up on any variation of invoices.
  • Prepare journal entries to correct incorrect posting of invoices.
  • Must serve as a positive representative of GTB Economic Development Corporation and provide customer service to vendors, internal departments and other GTB enterprises as well as employees
  • Other duties as assigned by Supervisor.

OTHER NECESSARY SKILLS AND ABILITIES

Must have excellent customer service and communication skills both verbal and written. Must be a team player with a positive attitude. Must be highly organized and able to handle multiple tasks at one time. Must be able to complete tasks and projects in a timely manner by prioritizing obligations and time. Must possess the ability to work with various personalities while maintaining impartiality. Must respond to supervisory guidance and assignments and accept constructive criticisms in order to learn new, updated information. The needs for quickness and ease of adjustment to the work environment and flexibility to change are essential in this position. Attention to detail and accuracy is essential. Must be computer literate, having Excel, Microsoft Word and accounting software experience. Other program knowledge necessary, but not required is Infinium iSeries. Must be reliable and maintain confidentiality of Accounts Payable department and Corporation as a whole.

Desktop computer, copier, fax machine, multi-line phone system, and other general office equipment.


TYPICAL PHYSICAL DEMANDS

May be required to lift up to 40lbs.occasionally. May also be required to reach, bend, stretch, kneel, crawl, lift and carry on occasion. While performing the duties of this job, the employee is regularly required to sit at a desk for extended periods of time. While filing, the employee is frequently required to stand for long periods of time.


TYPICAL MENTAL DEMANDS

Must be able to effectively handle stressful and compromising situations while remaining focused and professional. Must be able to deal with difficult people without losing perspective. Must be able to work productively under strict time restraints with variable deadlines.


WORKING CONDITIONS

Work is performed in a non-smoking office setting. Position may require occasional evenings, weekends and holidays. Some local and out of town travel may be required for further training and/or for the needs of the position.


COMMENTS

Native American and Tribal Preference will apply. Must be able to pass a background investigation and a drug and alcohol urinalysis as a condition of employment. Must be able to work flexible hours and to take on additional responsibilities when asked. Must adhere to company policies regarding strict confidentiality.
