The National Systems Group serves as the technical advisor to the Intelligence Community and its mission partners involved in the collection and distribution of national and tactical intelligence, including electronics programs, advanced technologies, ground and communications, imagery programs, and systems engineering and launch.

We are seeking an experienced Administrative Assistant who provides strategic support two Principal Directors and their teams. As the focal point for these sub-divisions, the individual provides collaborative administrative support to ensure effective and efficient sub-division operations. This person resolves problems quickly, executes processes and procedures, and works closely with leaders, colleagues, and customers across the enterprise to ensure the sub-divisions run smoothly and meet internal/external deadlines.

Work Model:

This position requires 100% on site work in Chantilly, VA.

What You'll Be Doing

  • Executes high volume and strategic multi-calendar support
  • Internaland external meeting coordination,support, and execution
  • Arranges travel coordination, logistics, and expense reporting for leadership
  • Coordinates employee support for the group/division/sub-division (on-boarding, timesheet administration/auditing, training requirements, supply/equipment orders)
  • Supports special projects, tracks actions items and deliverables
  • Coordinates sub-division, division, and customer reports/deliverables/org charts (compile/edit/publish)
  • Act as a partner and point of contact for leaders by working closely with and fostering connections with internal management, government customers, contractors, andexternal leaders
  • Engages in sub-division activities and decisions,with follow-up communications and coordination
  • Improves and ensures effective processes/systems that provide superior organization,efficiency, and industry-lead technicalbestpractices
  • Collaborates with admins within the group and division and across the corporation to achieve coverage and increase efficiency
  • Leads by training andmentoring admin assistants and is a role model by demonstrating professionalism, team collaboration, technical expertise, andleadership behavior that is consistent with the company's values

What You Need to be Successful

Minimum Requirements:

  • High School Diploma, GED, or equivalent
  • Strong administrative skills: strategic execution of tasks, organization, detail-oriented, writing, and proofreading
  • A minimum of 6 years of related administrative experience
  • Strong technological fluency across a wide range of tools and platforms such as Microsoft Office applications including Outlook, Word, PowerPoint, Teams, SharePoint, and Excel and meeting tools such as Teams, Skype and Zoom
  • Strong communication and interpersonal skills: leadership, collaboration, resiliency, strategic thinking, problem-solving, emotionalintelligence, judgment, business acumen, and decision making across all levels of the organization
  • Ability to handle sensitive and personnel-related information appropriately and support sensitive management functions
  • Ability to work independently and/or cooperatively with a team to proactively deliver innovative solutions and resolve issues with minimal direction
  • This position requires the ability to obtain a TS/SSBI/SCI security clearance and polygraph, which is issued by the U.S. government. U.S. citizenship is required to obtain a security clearance.

How You Can Stand Out

It would be impressive if you have one or more of these:

  • Prior experience as an admin or similar role
  • Familiarity with enterprise software packages such as Concur, Workday, JIRA, and Confluence
  • Familiarity with Aerospace corporate organizational structures, policies, processes, and practices
  • Experience with classified data handling and personnel security processes
  • A current TS/SCI security clearance would be impressive.
