Department: Administration
Job Title: Front Desk Receptionist
Reports To: Director of Communications and Marketing
Position Purpose: Performs general reception tasks as directed, including, but not limited to, filing, switchboard operations, copy/fax center, lost and found, and reservations.
Essential Duties and Responsibilities
- Greet members and guests with a pleasant smile and warm greeting.
- Responsible for the switchboard, which includes controlling incoming, outgoing and operator assisted calls, taking and delivering messages to staff and members, when necessary.
- Assist the Catering Department in the creation of signs for meetings, events, etc.
- Responsible for recording all member reservations for regular dining, Club events and special parties; informing members of all pertinent information regarding their reservation or any changes in regular dining.
- Responsible for special reservation forms for Club functions.
- Handle member inquires and requests from reception desk.
- Responsible for recording and storing of all lost and found articles.
- Sort and distribute incoming mail.
- Perform general office work such as word processing and operating copy and fax machines.
- Responsible for coordinating tasks with frond desk staff.
- Responsible for reading and learning the Club’s Rules and Regulations and By-Laws.
- Responsible for reading monthly Woodmonter to be able to answer member’s questions regarding events and programs.
- Maintain supply inventory for front desk area.
- Provide schedule and other Club information to members, guests and staff.
- Work on special projects as assigned.
- Perform any and all other office tasks and other duties as assigned.
Education and Work Experience Qualifications:
- Must have knowledge of word processing application.
- Position requires professional appearance and telephone manner, high level of interpersonal skills, tact and diplomacy.
- Must have good command of the English language, oral and written.
- Must be able to work nights, holidays, and week-ends.
