Position Description

The Medical Assistant I at Honor Community Health (HCH) is an essential part of our high-performing healthcare team. This is a full-time, non-exempt position that reports to the Lead Medical Assistant, Practice Manager, or Director of Health Center Operations. The MA I provide direct and indirect patient care while assisting clinicians in delivering evidence-based, patient-centered medical care. The MA I is also responsible for completing general office duties and patient records, as well as monitoring various clinical processes. To excel in this position, the Medical Assistant should prioritize building and maintaining strong relationships both within HCH's centers and with the administrative team. Working closely with colleagues will foster a culture of excellence and a shared commitment to delivering compassionate, high-quality healthcare to residents and the community. *Productivity numbers are lower, and the scope of practice is narrowed at the Child and Adolescent health centers to balance the shift in responsibilities. *

ESSENTIAL FUNCTIONS:

Patient-Centered Care

  1. Adheres to the guidelines, procedures, and protocols established by the Medical Director and the Director of Clinical Services.
  2. Helps with taking care of patients and making sure the patient encounters are properly documented in the electronic health record.
    • Responsibilities may include taking patient vital signs, spirometry readings, conducting EKG tests, breathing treatments, vision eye chart reading, urinalysis, hemoglobin, glucose, Strep A, flu test, covid test, pregnancy test, STI testing, administering injections and immunizations, drawing blood, collecting lab samples, monthly quality controls and other procedures.
    • Renders basic first aid or CPR when necessary.
  3. Ensures patients receive required prescriptions, refills, referrals, and follow-up appointments during their visits.
  4. As needed or appropriate, it may be necessary to communicate directly with patients regarding upcoming appointments, hospital admissions, referrals, and pharmacy refills.

Clinic and Office Operations

  1. During every patient visit, record all necessary data elements in the EHR system including –
    • Patient information,
    • Medical histories,
    • Immunization history/ Inputs historical vaccines,
    • Treatment plans,
    • Obtains and records vitals,
    • Ensures that all data elements are captured in Nextgen during every patient visit.
  2. Maintains patient confidentiality and strictly follows privacy regulations.
  3. Places patients in examination rooms according to the established workflow protocol of the healthcare facility.
  4. Cleans the exam room immediately after a patient visit, following the proper protocol.
  5. Ensure that the exam room is set up properly for the next visit by following the correct procedure.
  6. Keeps the appropriate supplies stocked in exam rooms and lab.
  7. Follows the workflow of the medical office and assists in making patient visits efficient and timely.
  8. Follows the appropriate protocol for sterilizing equipment.
  9. Adheres to HCH policies and procedures, along with local, state, and federal regulations, which are as follows:
    • Clinical Laboratory Improvement Amendments (CLIA) waived testing.
    • Third-party laboratory testing
    • Vaccine management, ordering, storage, and handling, including –
      • The Vaccines for Children (VFC) program requirements in accordance with the Alliance for Immunization in Michigan (AIM) Toolkit including but not limited to-
        • Refrigerator and freezer temperature tracking.
        • Download data loggers weekly.
      • The Michigan Care Improvement Registry (MCIR).
    • Medication storage, access, and administration.
    • Universal Biohazard Precautions.
    • Emergency Preparedness.
  10. Attends daily huddles.
  11. Assists patients by answering their queries or guiding them to the appropriate resources, whether it be in-person or over the phone.
  12. Aids in collecting data for audits, both for internal and external purposes.
  13. May be responsible for conducting audits as requested by supervisor.
  14. Orders and maintains the clinical areas with sufficient supplies.
  15. Excels in a fast-paced clinic environment, adapting to the ever-changing patient needs and workflow requirements of Honor Community Health.
  16. Adheres to the standards of the medical assistant I's scope of practice and functions efficiently within it.
  17. Assists with both internal and external referral processes, as well as handling medical records requests and track their progress.
  18. Carries out assigned tasks on committees, work groups, and other relevant teams.
  19. Assists in training new Medical Assistants.
  20. Performs other duties as assigned.  During a public health emergency, the employee may be required to perform duties similar to but not limited to those in the job description. During clinic operation shortages and without advance notice, the employee may be relocated to a different HCH location.

Other Functions (Child and Adolescent Health Centers)

  1. Serves as the front desk receptionist for Nurse Practitioner, Physician Assistant, and Behavioral Health Clinician patients.
    • Completes patient scheduling, check-in, and check-out.
    • Confirms insurance verification for every patient at every visit.
    • Administers the Rapid Assessment for Adolescent Preventive Services (RAAPS).
    • Scan documents into Nextgen (consent forms, patient documents, and PHQ/RAAPS results upon receipt).
  2. Participate in quality improvement initiatives, grant requirements, and activities as directed by the Chief Medical Officer (CMO). 
  3. Collaborates with the CAHC team to perform community outreach activities such as but not limited to the following: present at a school principals/teacher staff meeting, attend community health fairs, parent/teacher conferences, school district events, school district orientations, etc.
  4. Assist in the development and implementation of community advisory councils and youth advisory councils.
  5. Utilize MS Forms to track health education and Medicaid outreach activities.
  6. Follows all MDHHS/CAHC Minimum Program Requirements.
  7. Tracks outcomes and data utilizing the MDHHS Clinical Reporting Tool (CRT). (If given an account password)
  8. Prepares and maintains HRSA and MDHHS/CAHC site visit compliance.
  9. Inventories and orders supplies from Office Depot, Medline, OCHD (vaccines), and Quest.
  10. Submits weekly physical counts to Honor IT.
  11. If the Child & Adolescent Health Center closes due to inclement weather or a school-related reason such as utility failure, emergency management issue, etc., the following options will be activated:  1) MA will be placed in another primary care clinical setting 2) MA will be placed in another CAHC setting if needed 3) MA will be offered PTO.

What are we looking for?

  • High school diploma or equivalent is required. 
  • Certified Medical Assistant preferred
  • Must maintain BLS Certification through the American Heart Association.
  • 3+ months in a similar clinical position is required.
  • Strong computer skills and experience using Electronic Medical Records (NextGen preferred) and knowledge of Microsoft Office.
