We are currently hiring for an Experienced Receptionist/Office Assistant/Records Associate for our client in Ottawa, Ontario.

This person must present a personal professional image and be able to accomplish several tasks daily with tight deadlines. Candidates must possess proven multi-tasking abilities, be punctual and very personable; outgoing and customer service focused.

Shift Timing: 8am - 4:30pm (Monday - Friday)

Pay Rate: $21.91 per hour

Responsibilities:

  • Professional presence, including attire and demeanor appropriate for the specific customer environment
  • Receive and direct multiple incoming telephone calls on a multi-line telephone system
  • Document accurate and complete messages
  • Greet and direct visitors and adhere to customer security/badge requirements
  • Set-up, maintain files/records
  • Customer reporting with Excel and online tools
  • File archiving and retrieval through Iron Mountain
  • File folder creation and labelling
  • Annual purging/archiving of files
  • Assisting customers with file reporting/retrieval over multiple databases
  • Data entry
  • Responsible for conference room scheduling and meeting set up
  • Perform office and records management
  • May be asked to cover mail/ print production or fulfillment duties (faxing, scanning, copying)
  • General administrative support
  • Computer Use - MS Word, Outlook, Excel, PowerPoint (or equivalents), internet navigation and Windows Explorer
  • Other tasks as assigned

Required skills:

  • Minimum High School diploma or equivalency
  • Experienced delivering services in a client environment
  • Experience in an office required
  • Proficient with Microsoft Office Suite
  • Professional appearance
  • Solid communication skills both written and verbal
  • Ability to be resourceful and proactive in dealing with issues that may arise
  • Ability to organize, multitask, prioritize and work under pressure
