This is a full time onsite position in our Fairport Office.

Position Summary:

The Operations Services Representative with Administrative focus will perform administrative support for department and all Operations Teams. Working under the direct supervision of the Operations Services Manager, this position requires strong organizational and communication skills, attention to detail and the ability to work in a fast-paced environment.

Essential Duties & Responsibilities:

  • Assist all Operations Teams with assignments specific to Client Contracts serviced for each division.
  • Work directly with Clients to properly research requests to identify data records, balances and Client issues, as needed.
  • Consumer correspondence processing: conduct investigations and to prepare and send a response to Consumer; working with Clients for document requests via various media.
  • Consumer credit reporting; e-OSCAR electronic Consumer dispute process; investigation through resolution.
  • Daily mail processing; inbound and outbound, includes mail sorts and distribution.
  • Daily report processing: includes running and distributing departmental reports.
  • Provide receptionist service as needed: Greet and direct office visitors, answer main office telephone system, respond to direct requests for information and/or forward messages to appropriate staff.
  • Maintain and update databases as needed.
  • Provide administrative support to staff for copying, scanning, faxing and large-scale mailings.
  • Ensure compliance with all contractual requirements.
  • This position will be fulltime, onsite in our Fairport Office.
  • Adherence to ConServe’s Blueprint Quality Management System (BMS), Code of Conduct, and Compliance Program

Non-Essential Duties & Responsibilities:

  • Other duties as assigned.

Education:

  • High School Diploma or GED
  • Associates or Bachelor’s Degree or equivalent combination of education and experience preferred

Skills/ Requirements:

  • Six (6) months or more of direct phone or in-person customer interaction experience
  • Administrative experience at ConServe preferred
  • Ability and history of maintaining confidentiality and high level of trustworthiness.
  • Ability and history of interacting well with team members and customers in a professional manner while maintaining a safe work environment.
  • Attention to detail
  • Proven attendance history
  • Ability to multi-task and adapt to daily business needs with high level of accuracy
  • Proficiency in MS Word, Excel, and e-mail
  • Proficiency in ConServe Collection Systems preferred
  • Internet experience preferred
  • Availability to work periodic weekend hours as needed
  • Ability to work with all levels of staff (entry level to Executive Management.)
  • The ability to telework. A teleworker is defined as an employee who works for ConServe from a home, or other remote office, for all of the regularly scheduled work week. A teleworker uses telecommunication technologies, including, but not limited to, soft telephones, virtual facsimiles, computers, electronic mail, and remote Internet connections to access work remotely on a pre-determined basis
  • Secure internet connection, to plug in ConServe equipment into a hardline Ethernet port
  • A private work area in which work activities can be conducted
  • U.S. Citizenship or lawful Permanent Resident alien with three or more years as a permanent resident in the United States.
  • Ability to obtain and maintain Government Security Clearance
  • No conflicts of interest with ConServe or our Clients.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • Occasionally lift and/or move up to 25 pounds.
  • Ability to sit or remain sedentary for up to 8 hours per day, except for periodic breaks pursuant to applicable law
  • Ability to talk and listen on a phone for up to 8 hours per day
  • Ability to type on a computer for up to 8 hours per day
