Salary: $70k - $85K

We are seeking a highly organized, focused, and multitasking office manager to join our dynamic team providing support for the corporate headquarters of a Federal contractor.  This position plays a key role in ensuring the President’s virtual office functions seamlessly, allowing them to focus on strategic priorities and decision making.

 

Responsibilities of the Office Manager:

  • Oversee and coordinate administrative functions within JPSys’ Admin Department supporting the President.
  • Prepare and organize documents, reports, and presentations for executive review.
  • Distribute relevant documentation to interested parties.
  • Manage Microsoft Teams folders and Configuration Management systems ensuring organization of storage and retrieval of important documents are conducted in accordance with company policies (such as PII).
  • Manage membership of Microsoft Teams so only proper parties have access.
  • Function as liaison between the President and internal/external interested parties.
  • Provide guidance on tasks, prioritizing work and fostering a positive and productive virtual work environment.
  • Supervise Executive Assistant and Marketing Coordinator.
  • Develop and implement virtual office policies and procedures and ensure compliance.
  • Function as liaison between Administrative team and other departments, promoting effective cross functional communication and collaboration.


Duties:

  • Provide comprehensive virtual administrative support to the President ensuring smooth day-to-day operations.
  • Collaborate with other executive support staff to ensure seamless office operations.
  • Manage virtual office operations ensuring efficient workflows and adherence to JPSys policies and procedures.
  • Collaborate with IT teams to streamline communication channels and optimize project management processes.
  • Implement and maintain configuration management of filing systems, ensuring secure and organized storage of sensitive documentation.


 

Skills and Qualifications:


  • Bachelor's degree and 7 to 10 years of professional work and Office Management experience.
  • Prefer master's degree in a business or communications major.
  • Exceptionally strong organizational and multitasking skills with the ability to thrive in a virtual work environment.
  • Proven experience in virtual workflows, MS Teams, and office management.
  • Background preferably in IT, Data Science, or Healthcare or related fields.
  • Strong Configuration Management and file management skills.
  • Excellent communication skills, both written and verbal, for effective collaboration.
  • Expert level of M365 Microsoft Office suite, collaboration tools and Adobe Acrobat.
  • Leadership experience with a focus on fostering positive and inclusive virtual work culture.
  • Exhibit a high level of discretion, confidentiality and professionalism.
  • Ability to adapt and thrive in a very fast paced environment.
  • Experience with Bamboo HR desired.
  • Familiarity with ISO 9001 and/or CMMI standards is desired.
  • Strong policy compliance skills.
  • Other duties as assigned.

 

Educational Requirements:

 

Bachelor’s degree or relevant experience in Business Administration, Communications, or other related field or equivalent.

Previous experience supporting C-level executives in a virtual environment.


Although we are 100% virtual, you must be located in Northern, VA for regular local travel.

Must have high speed internet connection.
