Job Summary

We are currently seeking a highly-organized, detail-oriented Office Manager to join our team. We are a fast-paced, upbeat chiropractic office, that is centered around helping others. The Chiropractic Office Manager plays an integral role in ensuring the smooth operation of a chiropractic clinic. Focusing on creating an environment that enhances patient experience and streamlines administrative functions. This position involves a blend of leadership and organizational skills to oversee daily operations. From managing and training staff, coordinating schedules, patient benefit verifications, preparing financial reports for the doctors, to maintaining patient records. By fostering effective communication among team members and with patients, the Chiropractic Office Manager supports the clinics mission to provide exceptional care. Their efforts in managing resources efficiently and implementing policies contribute to the clinics overall success and sustainability, making them an essential part of the chiropractic healthcare team.

Chiropractic Office Manager Job Duties - Including but not limited to:

  • Oversee daily operations/productivity of the chiropractic clinic
    1. Scheduling patient appointments
    2. Managing patient flow
    3. Ensuring the office runs efficiently
  • Handle financial responsibilities
    1. Processing payments
    2. Managing accounts receivable and payable
    3. Preparing financial reports for the chiropractor
  • Maintain patient records with strict confidentiality, ensuring all documentation is up-to-date, accurately filed, and in compliance with healthcare regulations.
  • Supervise and train office staff on administrative procedures, customer service best practices, and clinic policies to ensure a high level of patient care and satisfaction.
  • Managing and implementing scalable systems and training for creating efficiency in the practice.
  • Coordinate with chiropractors to manage inventory of office supplies and chiropractic equipment, placing orders and overseeing maintenance as needed.
  • Supervising office staff, providing guidance, training, and feedback as needed.
  • Address patient complaints and concerns promptly and professionally, ensuring issues are resolved to maintain a positive clinic reputation.
  • Processing new patients and creating financial options and plans for Dr. recommended care plans including insurance benefits and out-of-pocket fees.
  • Develop and enforce health and safety policies to ensure a safe environment for patients and staff, including compliance with state regulations and guidelines.

Qualifications
  • High school diploma/GED required, some college preferred
  • Previous experience as an Office Manager or similar position preferred
  • Understanding of office equipment, systems, and procedures
  • Skilled in Microsoft Office, Excel, and Outlook
  • Excellent time management skills and ability to prioritize multiple tasks
  • Strong problem-solving skills and attention to detail
  • Excellent verbal and written communication skills
