ORGANIZATION OVERVIEW
Through the vision and support of United Way donors and volunteers, together we are building a better Weld County, one where:

  • people are connecting to the help they need
OVERVIEW
The Office Assistant is United Ways lead representative for those who are working at and visiting its 814 9th Street, Greeley, location to conduct business or to receive assistance. This role welcomes the public, refers to an applicable resource, contacts the person with whom they are meeting, or directs them to a meeting room. The assistant answers all incoming calls and directs them accordingly. Staff monitors front and back door intercom system and allows entrance. The position is also responsible for clerical and other duties in support of the finance department and the larger organization. This assistant also supports the management of four United Way properties.

KEY RESPONSIBILITIES
Front Desk
  • Become familiar with all United Way programs, events and activities to ensure efficient and effective direction of guests, be they in-person or contacting the organization by phone or e-mail.
  • Welcome United Way visitors, board of directors, and staff in a professional and courteous manner. Answer incoming calls and direct calls to appropriate staff. Check general voice mail box.
  • Accept and log deliveries and notify applicable staff of arrival.
  • Process mail daily and deliver to mail boxes.
  • Process cash and check receipts daily and prepare for deposit.
  • Review newspapers and other necessary documents.
  • Receive in-person monetary and in-kind donations as needed.
  • Work with occasional visitors who are in crisis; direct to staff that can best be of assistance.
  • Typing, tracking data, reporting, and scheduling. Email correspondence with staff.
  • Ongoing communication with supervisor regarding any concerns about office operations.
  • Order supplies as needed and/or inform supervisor of needed supplies.
  • Perform tasks for President & CEO, Chief Operating Officer, and other departments as assigned.
  • Support other United Way staff in ways that are consistent with role.
  • Open/close office areas and turn on/off lights.
  • Keep kitchen and other common spaces clean. If a need is too distracting to front desk duties, ask others for assistance.
  • Monitor front lobby area, which serves as a place where visitors can access resources, for cleanliness and needed supplies.
Property Management
  • Involvement in oversight of owned and leased properties, which currently includes:
    • 330 Park Avenue, Fort Lupton
    • 814 9th Street, Greeley
    • 870 28th Street, Greeley
    • 1215 8th Avenue, Greeley
  • Manage building maintenance and repairs by working with vendors including electrical, elevator, heating/air conditioning, janitorial, office equipment, plumbing, security system, telephone, etc.
  • For 814 9th Street building:
    • supervise office volunteers and special workers
    • host inspection organizations such as fire department
    • supply the 211 Colorado front lobby desk with supplies and ensure tidiness
    • order office supplies as needed
United Way of Weld County General
  • Support and promote the mission, values, goals and objectives of United Way, including representing United Way in professional organizations and the community (as assigned).
  • Support fundraising efforts of United Way and activities that support United Way.
  • Support United Way annual events, disaster response, and other activities as assigned.
  • Participate in staff meetings and in service opportunities.
  • Contribute to organizational promotions including writing promotional copy, proofreading informational and campaign materials, participation in outreach, etc. Other duties as assigned.
