POSITION SUMMARY:

Surgical Supply Assistant is responsible for completing Supply Chain and Perioperative standard operating procedures for
supply replenishment across supply nodes within the organization including but not limited to supply bin pulling, cleaning,
filling, receiving and replenishment. Responsible for managing the deployment and replenishment of patient care equipment
and medical code carts according to prescribed procedures, techniques and universal precautions. Responsible for
identification and management of expired supply and cleanliness of Supply Chain and Perioperative distribution areas and
supply nodes. Respond to STAT supply requests and calls and maintains clear communication between clinical staff,
Perioperative team and Supply Chain Distribution team. Responsible for management of specialty or patient specific supply,
implants and tissue needed for Perioperative and surgical operations.


QUALIFICIATIONS:

  • High School Diploma or GED required
  • Completion of two years of advanced education (e.g. college, junior college, vocational school) preferred
  • 3+ years experience in a material management, supply chain, or distribution role
  • 3+ years supply chain distribution experience in a health care environment
  • Experience in surgical technology or material a plus


REQUIRED SKILLS/KNOWLEDGE:

  • Ability to meet the physical demand requirements associated with supply replenishment and equipment deployment in accordance with Supply Chain standard operating procedures.
  • Ability to perform basic functions on a hand-held device, with appropriate training.
  • Demonstrates teamwork/cooperation in providing services to direct/indirect customers.
  • Ability to maintain clear communication with departmental management, clinical staff and end users.


PRIMARY RESPONSIBLIITIES:

Supply Replenishment

  • Complete and follow Supply Chain and Perioperative standard operating procedures for supply replenishment across all supply nodes within the organization. regularly checks, pulls, cleans, fills and receives supply bins for full replenishment.
  • Ensures adequate and accurate supply levels at all times to meet the anticipated demand of clinical staff and end users.
  • Respond to changes in supply demand patterns.
  • Demonstrates understanding and performs bin staging activities in accordance with Supply Chain standard operating procedures. Keeps staging area clean and organized.
  • Deliver STAT items or special requests to end users as required, and assist end users with over-the counter issues.
  • Utilize supply management technology in accordance with Supply Chain standard operating procedures. Maintain accuracy when working with technology and enterprise resource system (ERP).
  • As required, physically count the quantity of on-hand supply in Supply Chain supply areas to maintain accurate inventory levels.
  • Maintain optimum inventory levels of any STAT or mission critical items within Supply Chain staging area.
  • Manage and communicate stock outs and substitute items with clinical end users and Supply Chain Distribution team.


Clean & Organize

  • Ensures all Supply Chain distribution areas and supply nodes are organized and clean in accordance with Supply Chain and Infection Control policies and procedures.
  • Maintain a safe working environment in all Supply Chain distribution areas and supply nodes. Must comply with all PPE standards required for invasive areas.
  • Identify to Departmental management when maintenance of a supply node is required. Perform regular maintenance on supply node when needed, including but not limited to bin replacement, bin labeling, bin reorganization, etc.
  • Ensure quality assurance standards are met by checking and removing outdated and expired supply.


Equipment

  • Store, clean and deploy a variety of medical equipment maintained by Supply Chain to clinical end users across the organization.
  • Maintain equipment inventory in order to track equipment, identify soiled equipment requiring cleaning and deliver equipment to appropriate clinical end users.
  • Log and communicate equipment requiring repair or maintenance.
  • Maintain and deliver medical Code Carts in accordance with Supply Chain and organizational policies and procedures.
  • Respond to Code Cart calls in expedited and timely manner.


Communication & Customer Service

  • Manage and perform requisitions and requests for specialty or patient specific supply needed for surgical cases and Perioperative need.  Review and manage open Purchase Orders to ensure timely delivery of specialty or patient specific items. Communicate any backorders associated with specialty or patient specific supply.
  • Complete all bill-only requisitions for implants and specialty supply.
  • Support Perioperative Supervisor in management of implants, tissue and consignment supply. As required, communicate with Supplier Representatives to ensure adequate management of consigned supply.
  • Communicate any supply, procedure or equipment changes with Surginet System Analyst to adequately update surgical preference cards.
  • Upon a visit to a supply storage location, scan for misplaced items, trash on the floor, product wrappers and other items, in an effort to present and keep a clean supply work environment.
  • Ensure quality assurance standards are met by rotating supplies in clinical supply storage locations regularly.
  • Maintain clear communication between clinical end users and Supply Chain Distribution team.
  • Communicate all supply interruptions including stock outs and backorders to clinical end users and departmental management as soon as information becomes available.
  • Meets productivity work standards while demonstrating competency in job skills and knowledge by completing scheduled work in allotted timeframe.
  • Performs other responsibilities as requested by Supervisor, Coordinator, Team Lead or Department Head


JOB SPECIFICATIONS:

  • This is an hourly, non-exempt position. 
  • The starting hourly pay for this position is $19.95-22.00
  • Tentative start date is April 1, 2024. 
  • Day Shift: 7am - 3:30pm
