The Administrative Assistant with the OST Program at ECS is part of a dynamic team committed to providing the highest quality program to area youth. The ECS OST (Out of School Time) program is recognized as a top provider in Philadelphia, offering a safe and nurturing environment where each child is empowered to be their best. ECS OST’s daily activities benefit youth, but at its core, the programs brings families together and serves as a resource for the neighborhood. OST Administrative Assistants provide daily support to the team, children and their families. Work Schedule: Monday-Friday; 10:30am-6:30pm (Summer Hours) 12:30pm-8:30pm (School Year) Schedule flexibility is needed to support program needs. Primary Functions: Efficiently perform administrative duties for the OST Programs and take direction from OST Office Administrator and/or immediate supervisor. Carries out administrative duties (data entry, tracking, organizing, labeling, sorting, posting, copying, mailing) in accordance with instructions. Organize, coordinate and complete all assigned administrative functions including typing, reception, filing, photo-coping, word processing duties and database maintenance Supports team by performing tasks related to organization and strong communication Registration/Intake of participants of all ECS OST programs Qualifications: • Fluency in Spanish grammar, punctuation, spelling, and paragraph formation preferred but not required • Excellent verbal and written communication skills • High school graduate or equivalent (Business Office Administration graduate preferred) • At least two (2) years Administrative Assistance experience • Proficient computer literacy in the MS Windows Suite; demonstrated knowledge of MS Teams and MS Excel preferred • Ability to follow directions and problem solve with minimum supervision • Ability to manage and prioritize multiple tasks and assignments • Ability to effectively communicate with a diverse population • Ability to use good judgment and discretion when working with highly sensitive information • Ability to perform detailed data entry with a high degree of accuracy • Excellent conflict resolution and interpersonal skills • Strong organizational and planning skills • Exhibits polite and professional communication via phone, e-mail, and mail at all times. • Car or reliable transportation needed to travel to site locations as needed Must be able to input City Span attendance data by the 8pm deadline for OCF contracted sites – this is mandatory to this job position.
