Job Title: Document Control Specialist
Program: Operations

SUMMARY
General Description: Under limited supervision, the Document Specialist will work with Engineers, Technicians, and other support staff to properly convert process steps into properly formatted documents, maintain document templates., maintain storage system for files, drawings, Inspection Test Records, Non-Conformance reports and Operating/Maintenance Procedures.
Responsibilities and Duties:
- Support MARS operations by reviewing and maintaining policies and procedures up to date and in-line with operational and administrative activities at MARS.
- Manages document specialists and provides guidance
- Organizing the MARS Document Control and archiving system
- Labeling, sorting and categorizing documents for ease of use
- Retrieving documents upon request
- Adhering to regulatory requirements
- Working with colleagues to ensure consistency of documentation practice across the company
- Training employees on efficient documentation usage
- Ensuring documentation integrity
- Controlling access to documents
- Removing documents that are obsolete
- Utilizing storage software and applications for electronic filing
- Performing transcription and conversion work
- Proofreading documents upon request
- Assisting with both internal and external audits
- Other duties as assigned

EMPLOYMENT STANDARDS
General Education
College: Associates Major: Business or Administrative-related
Job-Related Experience: In lieu of formal education, a minimum of 5 years of direct, practical work experience with Microsoft Office Programs, document development, review and data management.
Certifications: N/A
Licenses, etc.: Valid driver's license is necessary when operating a vehicle while on agency business.
CONDITIONS OF EMPLOYMENT
Knowledge: Comprehensive knowledge of document control-related processes and regulations.
Skills:
- Effective verbal and written communication skills
- Organization and attention to detail
- Proficient with Microsoft Office or related programs.
- SharePoint experience preferred.
Abilities:
- Time management with a proven ability to meet deadlines.
- Demonstrates high professionalism in dealing with confidential and sensitive issues.
Physical Demands: Work is light requiring lifting of computer equipment and involves typical office behaviors. Some travel is required to other counties.
Work Environment: Work is performed in a typical office setting.
