Job Description: We are seeking a dedicated, dependable, and detail-oriented Personal Assistant to provide comprehensive support to our owner. The ideal candidate will thrive in a fast-paced environment, possess excellent communication skills, and demonstrate a proactive approach to problem-solving and managing tasks with accuracy. This position will require partial office hours weekly for administrative tasks and meetings. Responsibilities:Manage bill payments using QuickBooks Handle mail and daily correspondence Coordinate appointments and schedule events Assist with property management and leasing tasks Manage administrative tasks related to property acquisition  Create branding materials and manage supplies Organize files and update financial records Manage deposits Review insurance policies, leases, and ensure timely renewals Monitor tenant rent payments and communicate updates promptly Maintaining an organized digital filing system Prepare monthly financial statements and reports Coordinate meetings, demonstrating reliability in meeting deadlines Research and manage insurance policies for properties, ensuring comprehensive coverage Collect and organize W9s for tax purposes Ensure timely payment of taxes and financial obligations Assist with annual financial reviews and auditsOn-Call Tasks:

Respond to tenant inquiries and maintenance requests promptly, demonstrating responsiveness and problem-solving skills

Manage online property listings and respond within 24 hours, ensuring accurate and timely communication

Address urgent emails and messages in a timely manner, demonstrating dependability and responsiveness.

Requirements:
  • Bachelor's degree preferred Prior experience in administrative support or property management roles Proficiency in Microsoft Office Suite, Excel and QuickBooks Excellent organizational and time management skills Strong attention to detail and ability to multitask effectively Excellent communication and interpersonal skills Ability to work independently and prioritize tasks efficiently Knowledge of real estate industry practices and terminology is a plus
