This position performs the full range of administrative support for all Capital Facilities (CAP) divisions. Directly supports the Building Design and Construction Division (BDCD) with clerical and daily operational support. The Administrative Services Branch provides financial, accounting, budget, payroll and human resources support to all Capital Facilities team programs as they manage a combined suite of projects totaling more than $3.24 billion."

This position works in the Administrative Services Branch of Capital Facilities in Fairfax County Government Center at 12000 Government Center Parkway, Fairfax, Virginia.

Duties and Responsibilities:
  • Supports and assists all divisions of Capital Facilities (CAP) by providing clerical support and daily support of operations for all CAP divisions;
  • Supports the distribution of official written documents, including letters of correspondence and memorandums;
  • Provides reception services at the front desk of the office suite, greets, and screens visitors, directs visitors to the appropriate staff or conference rooms;
  • Answers division's main telephone number during the county's core business hours and ensures telephone coverage consistent with customer service standards;
  • Records staff meeting minutes and maintains meeting records;
  • Assists the different divisions regarding work with the Board of Supervisors;
  • Serves as the initial point of contact for interactions with visitors, staff members, contractors, members of the public, and delivery and mail personnel;
  • Exhibits responsibility for an end product of work by applying independent application of knowledge of standard office methods and procedures;
  • Proofreads office correspondence for proper format, punctuation, and spelling;
  • Compiles data for special and recurring reports;
  • Drafts replies for director's signature;
  • Assists with customer service, scheduling and coordinating for others which includes the preparation of events and meetings which involve the configuration and set-up of that event;
  • Responsible for the preparation of reports, general financial duties and/or purchase duties;
  • Point of contact for system maintenance; and
  • Complies with Capital Facilities' safety program and guidelines.

Note: The assigned functional areas for this position include general administration, finance, and/or customer service.

Employment Standards

MINIMUM QUALIFICATIONS:
Any combination of education, experience, and training equivalent to the following:

Any combination of education, experience and training equivalent to high school graduation and two years of experience providing administrative support in the assigned functional area(s).

CERTIFICATES AND LICENSES REQUIRED:
Valid driver's license

NECESSARY SPECIAL REQUIREMENTS:
The appointee to this position will be required to complete a criminal background check and driving record check to the satisfaction of the employer.

PREFERRED QUALIFICATIONS:

  • Demonstrates excellent oral and written communication skills.
  • Excellent front-line customer service experience.
  • Ability to exercise tact, discretion and initiative.
  • At least 1 year of experience drafting, proofreading, revising, and editing correspondence/documents.
  • At least 2 years of experience working independently with minimal supervision in a fast-paced collaborative team environment.
  • At least 2 years of data entry experience.
  • Proven experience in managing multiple tasks with accuracy.
  • At least 2 years experience utilizing Fairfax County Unified System (FOCUS) or similar System Applications and Products in Data Processing (SAP) finance/procurement modules.
  • Proficiency with Microsoft Word and Excel.

PHYSICAL REQUIREMENTS:
Ability and dexterity to operate office equipment. Ability to acknowledge and receive walk-in customers and respond appropriately. Ability to answer telephone calls and electronic or email messages and respond appropriately. Ability to lift plans and file folders weighing up to 20 pounds. Ability to proofread correspondence and documents. Ability to sit and work at a computer terminal for extended periods of time. Ability to stand and file, copy, scan, and store office supplies. All duties performed with or without reasonable accommodations.
