Summary Description

We are seeking a full-time, experienced, and detail-oriented Scheduling Coordinator to join our high-performance team. This individual will be responsible for efficiently planning and coordinating schedules, ensuring optimal resource utilization and timely service delivery. Strong communication skills, attention to detail and the ability to thrive in a fast-paced environment are essential. This individual must be committed to delivering high-quality and reliable fuel services to our customers. This role is crucial to ensuring the efficient scheduling and delivery of fuel to our clients.

Key Responsibilities & Duties

• Fuel Delivery Scheduling:

-Develop and manage daily, weekly, and monthly fuel delivery schedules based on customer orders and operational needs.

• Customer Coordination:

-Communicate with customers to confirm delivery schedules, address inquiries, and provide updates on delivery status.

-Work closely with customer service teams to ensure timely and accurate responses to customer requests.

• Inventory Management:

-Monitor fuel inventory levels and collaborate with suppliers to maintain an adequate and cost-effective supply of fuel.

-Forecast future fuel needs based on consumption patterns and industry trends.

• Data Analysis and Reporting:

-Analyze fuel consumption data to identify trends, inefficiencies, and opportunities for improvement.

-Generate regular reports on fuel delivery performance, including key metrics and KPIs.

• Problem Resolution:

-Proactively identify and address any issues that may impact fuel delivery schedules or customer satisfaction.

-Collaborate with relevant teams to find solutions and prevent recurrence of challenges.

-Adjust schedules in real-time to accommodate emergencies, delays, or changes in customer demand.

• Continuous Improvement:

-Participate in process improvement initiatives to enhance scheduling efficiency and overall operational effectiveness.

-Stay informed about industry best practice and technological advancements to streamline scheduling processes.

• Documentation:

-Maintain accurate up-to-date records of fuel delivery schedules, customer interaction, and any incidents or deviations from the plan.

Qualifications

• Bachelor’s degree or relative operational experience.
• Must have weekend on call availability.
• Proficiency in using scheduling software and tools to optimize delivery routes.
• Advanced knowledge of Microsoft Office Suite, particularly Excel for data analysis and reporting.
• Have customer facing experience.
• Strong written and verbal communication.
• Analytical and fast thinker.
• Very detail oriented.

Preferred Qualifications

• A business degree or equivalent.
• Familiarity with the fuel industry and knowledge of related regulations.
• 5-10 years of experience in fuel scheduling, logistics coordination, or a similar role.
