Salary Hiring Range: $60,000-70,000 annually (paid bi-weekly)
NOTE: Competitive salary commensurate with experience
FLSA: Non-Exempt
Career Summary:
Working within the Conferences and Meeting Services team, the Registration Specialist provides outstanding registration support and customer service to registrants for workshops, meetings, conferences and virtual events. This includes the coordination of registration builds, reporting needs, and interfacing with the vendors, the department team, internal and external customers, and internal departments, such as, Marketing and Finance. Additional tasks will include interfacing with online platforms to support webinars and completion of surveys for customer quality and Continuing Nursing Education. The Registration Specialist is positioned to provide leadership and drive priorities for the registration process from pre to post event.
Key Responsibilities:
- Direct registration builds and manages the entire registration process for in-person and virtual events, including workshops, conferences, and meetings, ensuring a seamless and efficient experience for attendees.
- Serves as the focal point for registration from start to finish, front and center, for meetings that are 300-11,000 persons.
- Lead meetings with internal teams and vendors to discuss registration needs and requirements; Establishes and communicates registration deliverables and timelines along with solutions for new registration needs and requests to ensure a seamless build and launch.
- Provide onsite registration support during conferences and events, including managing onsite registration experience and setting up and overseeing the onsite registration system; Create and manage onsite staffing plan that also includes sourcing and selection of temporary staff.
- Coordinate the production and distribution of conference materials, including badge lists, name badges, tote bags, and other conference materials.
- Collaborate with internal teams and vendors to ensure timely delivery of conference materials to the event venue.
- Generate weekly registration reports, analyze data, and provide insights/updates to leadership and internal teams for decision-making.
- Serves as a primary point of contact for all meeting registration-related questions, internally and externally, for workshops, conferences, and meetings.
- Manage post-registration activities, including leading registration debrief meetings with internal and external stakeholders, working with abstract vendor on Continuing Education fulfillment and overseeing survey distribution for meetings and events.
Qualifications:
- Bachelor’s degree in business management, hospitality, marketing, or related field from an accredited college or university Or, four years’ experience in a meeting planning role or function for an association or other organization.
- At least 2 years of experience in administrative positions in business, educational or professional organizations.
Work Schedule:
Hybrid: Employees are required to work a minimum of 20% in an ANA office.
