The Tysons Community Alliance seeks an experienced Administrative Coordinator to assist during a transitional period of approximately three months.


About Us:

The Tysons Community Alliance (TCA) is an independent, non-profit (501(c) 6) community improvement organization, committed to the transformation of Tysons, VA into a vibrant, inclusive, globally attractive urban center where all thrive. By facilitating collaboration, activating places, promoting Tysons and place management, TCA coordinates, plans, and leverages resources to make Tysons a thriving, diverse and competitive urban community. The annual budget of the Alliance is approximately $4 million, with initial funding provided by the Fairfax County Government, and plans to hire a staff of up to 15.

Position Summary:

The Administrative Coordinator will play a vital role in maintaining smooth financial, administrative, and facilities operations during a transitional period of approximately three months. The successful candidate will be an experienced, organized, and detail-oriented professional, and a team player, comfortable and flexible in a fast-paced environment.

Primary Responsibilities:

FINANCIAL OPERATIONS

  • Properly classify transactions, handle accounts payable and accounts receivable, including government invoicing. Ensure timely payment and invoicing on all accounts.
  • Perform data entry into Divvy/Bill.com.
  • Perform monthly credit card reconciliation
  • Deposit checks and cash, record deposits and cash receipts.
  • Assist the CEO and VP of Strategy in fulfilling all County financial reporting and invoicing requirements.
  • Assist in budget monitoring and tracking.

FACILITIES AND GENERAL OFFICE ADMINISTRATION

  • Handle purchasing, maintenance, and organization of general office equipment and supplies, facilities, and services.
  • Liaison with vendors and property management staff.
  • Schedule and coordinate internal staff meetings and external key stakeholder meetings.

BOARD OF DIRECTORS AND COMMITTEE SUPPORT

  • Assist the Chair and CEO by supporting administrative needs of the Board, including but not limited to coordination of invitations and responses, preparation and distribution of materials, virtual or physical arrangements, minutes and other recordkeeping.
  • Key POC for Key Stakeholders and Primary Scheduler.
  • Assist and coordinate onsite event support.

GENERAL STAFF/DEPARTMENTAL SUPPORT

  • Schedule orientation and exit processes and manage checklists for all positions.
  • Assist the CEO with On Boarding process.
  • Support the creation of TCA Staff Handbook.
  • Manage Vendor and Funders Database to ensure that all payments and reports are submitted in a timely manner.
  • Maintain up-to-date personnel files (paper and/or electronic)

Other duties, in support of TCA Program Areas (Communications and Branding, Research and Business Support, Transportation and Mobility and Placemaking) as assigned

Scope:

This position reports to the Chief Executive Officer. Handles confidential information; responsible for accounting functions and frequent financial transactions. Represents[ the organization to stakeholders at all levels. Expends funds and makes contractual commitments only as expressly authorized.

Qualifications, Skills and Attributes:

Requires a detail-oriented and highly organized professional, who is both an outstanding individual contributor and a collaborative team player. Skilled problem solver, able to handle multiple priorities and demonstrate high productivity with minimal oversight. A high level of tact and discretion is required to handle sensitive information and to respond to a broad spectrum of stakeholders, including the Board of Directors. In addition:

  • Minimum three years’ financial and administrative operations experience required, including some bookkeeping experience.
  • Advanced computer skills and proficiency with Microsoft Office Suite, Sage Intacct, and databases.
  • Clear written and verbal communication skills required
  • Outstanding level of accuracy and attention to detail
  • Must be available for occasional evening and weekend event
Compensation and Benefits:

This non-exempt position will be compensated at a rate of $35 per hour, up to 40 hours per week, including paid holidays and free parking.

Scheduling:

The responsibilities of this position call primarily for in-person presence, with core onsite hours 10am-3pm Tuesday, Thursday, and one other day of employee's choosing. The remainder of the 40 hours can generally be remote, however onsite requirements may include occasional weekends and evenings for special events.
