The American Society of Civil Engineers is seeking a motivated individual to join our team as a Coordinator. The ideal candidate will possess excellent communication, organizational, and people skills, as they will play a vital role in helping us achieve our organization's member-driven mission and objectives. As a Coordinator, you will be responsible for facilitating communication, managing various organizational tasks, and engaging with our volunteer members and staff team.

Responsibilities:

Communication:

  • Organize and schedule meetings, assist in preparing agendas, identify and track action items, and file meeting minutes
  • Maintain clear and consistent communication channels with volunteers and staff
  • Create, update, and distribute external communications such as website content, emails, and collaborative site updates to keep stakeholders informed about activities, products, awards, and achievements
  • Manage social media content and work with the ASCE communications and marketing department to promote initiatives and engage with an online community
  • Track and appropriately route incoming committee applications

Organization:

  • Maintain and update records, databases, and documentation related to committee membership
  • Create, monitor, and process travel reimbursements for volunteers
  • Assist in the coordination of events, including abstract submission software support
  • Help track organizational data including carbon footprint reporting information
  • Coordinate logistics for meetings, conferences, and workshops
  • Work with Honors and Awards Department and member committees to manage multiple annual awards including deadlines, submissions, communication, and awardee promotion

Member Service/Networking:

  • Foster positive relationships with volunteers and staff
  • Collaborate with volunteers and staff to identify opportunities for collaboration and growth
  • Represent the organization professionally and passionately at events and meetings

Ideal candidates will have:

  • Bachelor's degree in a related field or equivalent work experience
  • 3-5 years corporate or association/non-profit or community organization experience
  • Interest in sustainability and climate issues
  • Strong written and verbal communication skills
  • Exceptional organizational and time-management abilities
  • Proficiency in using communication tools, social media platforms, and Microsoft Office Suite
  • Adept at building and maintaining relationships with diverse groups of people
  • Passion for our mission and dedication to making a positive impact in the community
  • Willingness to learn new software systems
  • Flexibility in managing priorities and willingness to help teammates across the organization
