The E-Billing Manager manages all processes related to the electronic exchange of billing and other information between the firm and its clients for all firm offices. Working with the Senior Manager of Billing, this position provides superior internal and external client customer service while adhering to firm and client policies. The Manager will ensure work is properly allocated and completed in a timely and accurate manner.

Job Responsibilities

  • Manages the e-billing team, including supervising daily activities, managing schedules and workloads, preparing performance evaluations, and conducting evaluation reviews and other performance related discussions.
  • Provides training and supervision to the e-billing team, billing team, and other firm internal clients as necessary.
  • Assesses e-billing procedures to identify areas requiring improvement.
  • Develops solutions to reduce internal work cycles or eliminate electronic billing inefficiencies by implementing e-billing best practices.
  • Reviews e-billing rejections report, analyzes trends to devise resolutions, and resolves issues between external clients, internal clients, and e-billing systems (E-billing Hub & client vendor sites). Escalates material/aged rejections to Senior Manager and Billing Director.
  • Enhances existing reporting and develops decision useful reporting to help expedite billings and collections activities.
  • Communicates with Senior Manager and Billing Director to recommend solutions to improve billing process.
  • Analyzes and reconciles the firm’s billing system and third-party e-billing systems. Responsible for E-billing HUB and vendor e-billing site administration.
  • Manages new client e-billing onboarding, conversions to new e-billing systems, new matter setup, timekeeper approvals, matter budgets, and appeals process.
  • Reviews contractual billing arrangements and client guidelines (Outside Counsel Guidelines and Billing Guidelines). Works with the Pricing team in reviewing and assessing the electronic billing requirements within client’s Outside Counsel Guidelines and communicates to the billing team and other parties for accurate submission of electronic invoices.
  • Creates and maintains process documentation for procedures related to e-billing.
  • Provides information and various reports to management, attorneys, and secretaries upon request.
  • Audits and monitors the payment of fees associated with the e-billing vendors.
  • Ensures adherence to e-billing deadlines for all offices. Follows up with ebillers regarding pending issues and communicates with Senior Manager regarding areas of concern and non-performance.
  • Collaborates with Assistant Billing Managers and Senior Manager on department projects and assignments.
Qualifications

Knowledge, Skills and Abilities

  • Demonstrated advanced knowledge of Elite 3E or other similar accounting system with the ability to instruct others in its use.
  • Advanced knowledge of leading third-party e-billing platforms.
  • Experience leading and developing a team of e-billing coordinators.
  • Demonstrated ability to communicate clearly and effectively, both orally and in writing, with attorneys, staff, vendors, and client contacts.
  • Demonstrated ability to independently organize and prioritize highly detailed work in a dynamic and complex environment to meet deadlines and daily requirements.
  • Demonstrated ability to prepare analysis of complex issues and information.
  • Demonstrated ability to provide quality customer service to both internal and external contacts, regarding billing or other financial matters.
  • Demonstrated high proficiency in Microsoft Excel and other Microsoft suite applications.
  • Advanced knowledge of various Legal Electronic Data Exchange Standard (LEDES) billing formats (specifications, limitations, etc.).
  • Ability to exercise considerable independent judgment, tact and initiative in resolving problems and handling confidential matters.
  • Ability to understand and enforce client service standards and expectations within a law firm and/or professional services environment.
  • Demonstrated knowledge of accounting concepts and procedures.
  • Must be detail-oriented and demonstrate a commitment to accuracy and thoroughness.

Education

The position requires a Bachelor’s Degree in Accounting or Finance.  Equivalent training and experience may substitute for education.

Experience

The position requires a minimum of five (5) years of progressive experience in e-billing that includes direct supervision of others. Experience in a professional services organization is preferred.

Our Firm is committed to fair and equitable compensation practice in accordance with applicable laws. The salary range for this position is $125,000-$165,000. Additional compensation may include a discretionary bonus. Other benefits include healthcare, vision, dental, retirement, and all-purpose leave. The salary for this position may vary based on location, market data, an applicant’s skills and prior experience, certain degrees and certifications, and other factors.
