Job Summary:
We are seeking a detail-oriented and highly organized Engineering Administrative Assistant to join our team part time. The ideal candidate will provide administrative support to our engineering department, ensuring smooth operations and efficient workflow. This role requires strong communication skills, the ability to handle multiple tasks simultaneously, and a proactive approach to problem-solving.
Responsibilities:
- Assist engineering team with daily administrative tasks, including scheduling meetings, preparing reports, and managing correspondence
- Coordinate and schedule appointments, travel arrangements, and conference calls for engineering staff
- Maintain and organize engineering department's files, records, and documents, ensuring proper documentation and confidentiality
- Create and edit presentations, spreadsheets, and reports, utilizing various software applications
- Compile and distribute meeting agendas and minutes, ensuring all necessary materials are prepared in advance
- Support the engineering team in managing project timelines and deliverables, tracking progress, and updating project databases
- Collaborate with cross-functional teams to gather information, resolve issues, and facilitate communication
- Assist with the procurement process by coordinating purchase orders, tracking orders, and maintaining inventory of engineering supplies
- Provide general administrative support, including answering phone calls, greeting visitors, and managing office supplies
Qualifications:
- High school diploma or equivalent; Associate's degree in business administration or related field preferred
- Proven experience as an administrative assistant or in a similar role, preferably in an engineering or technical environment
- Proficient in MS Office Suite (Word, Excel, PowerPoint) and other relevant software applications
- Excellent organizational skills and strong attention to detail
- Outstanding verbal and written communication skills
- Ability to prioritize tasks and work independently with minimal supervision
- Strong problem-solving abilities and resourcefulness
- Proactive and adaptable with the ability to thrive in a fast-paced, deadline-driven environment
- Ability to maintain confidentiality and handle sensitive information with discretion
