As a Terminal Operations Coordinator, you will be responsible for providing operational day-to-day direction and support to Terminal Operations. The Terminal Operations Coordinator collaborates with Terminal Managers, Area Managers, Dispatch, Operations and external vendors on a daily basis to maintain the flow of products and services provided to vendors

Your Responsibilities:
  • Direct and support the day-to-day operations for either Oil Movements/Terminals in collaboration with Terminal Operations Specialist/Terminal Managers/Regional Managers. This may include but is not limited to: Managing the flow of products assigned to carrier drivers/customers based on availability and urgency, completing SPCC/Terminal Operations Checklists, providing performance and cleanliness feedback on carrier drivers, tracking and auditing product specifications and inventory requirements, and ad-hoc administrative support.
  • Track and reconcile inventory stock, including additive inventory and investigate for shortages or discrepancies. May create report based on findings and may collaborate with Yield Accounting/Supply group on inventory requirements and create requisition for purchase of material.
  • Submit, update, and track product specifications in Fuel Facs System. Once samples are received, coordinate product quality specifications and operational decisions with Team Lead/Terminal Manager/Area Manager. Collaborate with Dispatch and Operations on product requirements from carrier drivers that aren't yet available and identify optimal solution based on product availability and urgency.
  • Act as the main point of contact for carrier driver and customer support in collaboration with Dispatch and Operations. Train and onboard new carrier drivers and coordinate safety orientation video. Instruct driver on how to use Fuel Facs, and track, identify and audit carrier driver/vendor training certifications (including TDG) to ensure compliance. Communicate and coordinate training when required.
  • Facilitate staff, customer, and vendor entry into Terminal/Oil Movements area. Determine if proposed entrant is authorized to be on the property and allow access, and when required, ban/lock out drivers with manager approval. Sign in visitors and assist with hot work permits (hot/cold/confined space) and troubleshoot issues in a timely manner. Enforce safety and security procedures are being followed by verifying that safe and secure working conditions for contractors and internal personnel are upheld.
  • In the Marine Terminals area, the Terminal Coordinator may be responsible to assist with the product movements truck and/or shipping receipt and refueling of marine vessels. Duties may include assemble ship arrival folders, gather gauging information, and send out notification of arrivals. Coordinate the shipping schedule with Team Lead, Mate, Dock, and hose crew. Responsible for rack shutdowns, product testing, quality control, product storage, inventory reporting, and confirmation of work being completed with outside inspection company.
  • Coordinate supplies and ordering for Operations team, which may include purchasing: forms, BOLs, safety gear, requisitions, purchase orders, etc. In the Products & Terminals area specifically, the coordinator will provide administrative support by entering requisitions for purchase orders, receiving of invoices against purchase orders, assisting with inquiries from internal stakeholders regarding purchase order budgets and spending, and tracking of purchase card expenses.
  • In the Products & Terminals area specifically, assist with Payroll in Terminal Operations including gather time cards, submit to payroll, submit vacation requests to manager for approval, and submitting change forms for payroll and benefits.
  • May update and maintain procedures in Documentum in collaboration with Terminal Operations Specialist. May identify a change in procedure and submit a change request. Follow-up post procedure implementation to ensure it is being adhered to.
  • May generate KPI reporting and update the data with current activities identified into metrics within the Terminal/Oil Movements area. Analyze the data and communicate areas of improvement, and work collaboratively with Area Managers/Terminal Managers to identify optimal solution(s).


Your Skills:
  • Experience in Marine Terminal Operations or Refinery Operations considered an asset.
  • Material Handling experience in related industries is an asset.
  • Ability to interact with and sometimes lead a diverse group of skilled workers in a diverse work environment.
  • Ability to recognize customer needs and develop solutions for customers.
  • Adaptable to change and a strong positive image.
  • Experience in handling hazardous materials.
  • Technical skills related to maintenance trades.


Your Experience:
  • Post-secondary education in a related discipline: Trades or Business is preferred.
  • 1+ years of experience in a related discipline: Trades with a business acumen, or Business with a technical/mechanical aptitude.
  • Ability to organize and prioritize work.
