Job Summary/Objective

The Benefits Compliance Facilitator is responsible for overseeing the creation, maintenance, and distribution of various compliance documents essential for regulatory adherence in the insurance industry. This position involves a comprehensive understanding of ERISA Wrap, Section 125 Premium Conversion Plan/POP, SMM, and Employee Annual Notices, and requires adept coordination with internal teams, clients, and external vendors.

Essential Functions/Duties

The essential functions include, but are not limited to the following:
 
  • Create and update essential compliance documents such as ERISA Wrap, Section 125 Premium Conversion Plan/POP, SMM, and Employee Annual Notices in a timely manner to meet DOL distribution requirements.
  • Organize and conduct Mineral and Zywave webinar trainings for clients to ensure their understanding and utilization of compliance tools effectively.
  • Provide ongoing client support by assisting them in navigating and utilizing Mineral and Zywave platforms and addressing their compliance-related queries.
  • Collaborate closely with Renewal Managers to coordinate the creation and renewal of compliance documents on an annual basis, ensuring accuracy and compliance standards are met.
  • Work directly with clients to ensure accuracy and compliance of their respective compliance documents, addressing any discrepancies or concerns.
  • Collaborate with brokers and administrative staff to offer consultancy services regarding compliance needs for clients and provide appropriate solutions.
  • Maintain and manage an organized database of client documents, ensuring accuracy, accessibility, and timely updates.
  • Liaise with external vendors to establish compliance documents tailored to groups of varying sizes, ensuring compliance standards are met.
  • Monitor HR Division email for compliance-related inquiries and promptly respond. Answer HR Division calls and address compliance-related issues effectively.
  • Assist with other duties as required to support the smooth functioning of compliance-related operations within the Agency.

Required Skills and Abilities
 
  • Possess a strong understanding of the principles of human resources and benefits compliance, including laws and regulations.
  • Excellent written and verbal communication skills to effectively convey information clearly and transparently.
  • Ability to collaborate effectively with in a team environment, sharing insights and            contributing to collective success.
  • Exceptional problem-solving skills, combined with a persistent approach to achieving successful resolutions.
  • Strong organizational skills, with the ability to prioritize tasks and manage daily                     responsibilities effectively.
  • Experience in building and maintaining strong client relationships, understanding clients’ unique needs, and providing customized human resources solutions.
  • Detailed-oriented and organized with excellent project management abilities.
  • Strong critical thinking skills to analyze complex scenarios and develop solutions for clients.
  • Proficiency using various software and tools, Microsoft Office Suite, HRIS systems, and other HR-related software.
  • Commitment to staying updated on industry trends, regulations, and best practices.
  • Adhere to ethical standards and maintain confidentiality when handling sensitive employee and client information.

Education and Experience

Required:
  • 3 or more years of prior experience in a human resources compliance or benefits position.
  • Bachelor’s Degree in Human Resources, Business Administration, or a similar field.
  • Virginia Life and Health Insurance License

Preferred:
  • Master’s in Business Administration, Human Resources, Labor Relations, or Employment Law
  • Human Resources certifications (SPHR, PHR, SHRM-SCP, SHRM-CP)

The noise level for this position can range from low to moderate, depending on the specific work environment. 

The Benefits Compliance Facilitator may occasionally need to adapt to changing work demands, such as handling urgent client requests, participating in team meetings, or assisting colleagues during peak periods.

The Benefits Compliance Facilitator should be prepared to engage in a variety of activities that require physical effort and mobility:
 
  • Sitting: A significant portion of the workday involves sitting at a desk while using a computer, handling paperwork, and communicating with clients and co-workers.
  • Standing and Walking: If in the office, some tasks, such as attending in person meetings, interacting with colleagues, and moving within the office space, may involve standing and walking.
  • Typing and Writing: This position requires frequent typing, data entry, and documentation. Effective written communication is essential for drafting emails, reports, and client communications.
  • Lifting and Carrying: If in the office, the Benefits Compliance Facilitator may need to lift and carry files or documents, generally weighing up to 10 pounds.
  • Telephone and Communication: This position involves significant telephone communication with clients, carriers, and team members, requiring clear and effective verbal communication.
  • Visual and Auditory Abilities: The ability to read documents, analyze data, and view computer screens for extended periods is necessary. Good auditory skills are essential for effective communication via telephone and in-person conversations.
  • Multitasking and Time Management: This position often involves managing multiple tasks simultaneously and prioritizing time effectively to meet client needs and deadlines.
