What we are looking for…   

Our ideal candidate for the Office Coordinator role is a proactive and detail-oriented professional who thrives on assisting others. They are responsible for daily office operations and providing support in administrative tasks. This individual flourishes in a fast-paced and dynamic environment, finding joy in exercising their problem-solving skills 
 
What you will do...    
 
  • Be responsible for day-to-day office necessities and promptly address office-related queries.
  • Maintain a clean, organized, and safe office environment for employees and guests.
  • Order and maintain stocking of office supplies, snacks, drinks, etc.
  • Address office related maintenance, repairs, and upgrade needs.
  • Prepare the office for holidays and special events. 
  • Coordinate and schedule meetings, appointments, and company events as directed.
  • Coordinate catering arrangements for meetings or events. 
  • Direct internal and external communications to appropriate parties, including phone calls, emails, and in-person inquiries.
  • Organize and distribute mail to the proper contact/department.
  • Assist in administrative office tasks including scanning, filing, and shredding of documents.
  • Monitor executive calendars to proactively plan and facilitate resources.
  • Organize and compile expense reports/receipts for executive team. 
  • Other tasks as assigned. 
What you will bring…   
 
  • Proven experience as an Office Coordinator or in a similar administrative/office role.
  • Strong time-management and people skills, high degree of flexibility, and excellent multitasking ability
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and other relevant office software.
  • Basic financial and budgeting skills.
  • Ability to lift and carry objects weighing up to 20 pounds as needed and to safely navigate heights, including climbing ladders, as required for job tasks.
  • Be in the office at least 2-3 days per week. 
  • Available for up to 30 hours per week, with scheduling flexibility to accommodate varying workloads and changing office demands. Hour needs may vary depending on workload and company needs. 

Stand Out With…
 
  • Bachelor’s degree in business administration, management, or a related field is not required, but noted.
