Position: Director of Records and Registration Classification: Administration Department: Student Services Report to: Dean of Students General Job Summary: Primary responsibility is to direct, coordinate, and supervise all aspects of student records, registrations, graduation, and records personnel. Consult with Deans, supervisors, faculty, and other responsible personnel to create registration schedules and procedures. Analyze statistical data on registration for use in formulating policies and future planning. Direct preparation and issuance of student transcripts. Prepare commencement list. Evaluate academic records of students applying for admission and graduation. Compile information such as class schedules and graduation requirements for publication in school bulletins and catalogs. Coordinate dissemination of information to students on registration, graduation, and other procedural requirements. “Customer Service” is required of this position. % of TIME Essential Duties/Responsibilities Constant (67-100%) 1. Supervise, coordinate, and manage all phases and aspects of student records, registration, and personnel. 2. Maintain student records according to College procedures and legal requirements in a secure environment. 3. Access student records on computer systems to record new data or make changes. Frequent (34-66%) 1. Direct the preparation and distribution of course offerings in a timely manner. 2. Review, sort, and distribute class lists each term, process grades from instructors according to established procedures and direct processes for notifying students of grades and student academic status. 3. Meet with students, faculty, and administrators to resolve problems and issues relating to student records. 4. Assist in updating official publications of the College. 5. Review transcripts from other schools and grant credit accordingly, consulting with Deans and faculty as needed. 6. Correspond with students regarding academic progress. Occasional (10-33%) 1. Serve on college committees as assigned. 2. Plan and organize graduation ceremonies. 3. Provide information to other colleges or universities. 4. Provide leadership and oversight of an automated degree audit system and document imaging. 5. Provide leadership in campus compliance with federal and state regulations such as FERPA. 6. Participate in state, regional, and national organizations benefiting the Records office function. 7. Prepare and monitor the Records department budget. 8. Certify student-athletes meet NJCAA Eligibility requirements for participation. Knowledge, Skills, and Abilities: Knowledge of all aspects of student records, maintaining a student-centered focus. Ability to effectively interact with students, parents, faculty, and colleagues. Ability to access, input, and retrieve information from a computer with ability to utilize various programs related to desktop publishing. Represent the College in a positive manner to employees, students, visitors, and the general public. Must be enthusiastic and energetic in the performance of assigned duties and responsibilities. Demonstrated ability to utilize correct English, grammar, punctuation, and arithmetic. Ability to read and understand written and oral instructions or communications. Ability to efficiently perform tasks in an environment of frequent interruptions. Ability to assume responsibility, deal effectively with problems and exercise good judgment when making decisions. Ability to effectively supervise, manage, and relate to personnel in diverse areas. Special Demands: Sedentary to light work. Position involves sitting most of the time; exerting up to 20 pounds of force occasionally (10-33%). Stooping, kneeling, crouching, pushing, and pulling occasionally (10-33%). Walking, lifting, and grasping frequently (34-66%). Talking, hearing, viewing various types of close visual work, and repetitive motion constantly (67-100%). Required to travel utilizing personal vehicle. Must have valid driver’s license, good driving record, and provide proof of insurance. Employment with Iowa Lakes Community College is dependent upon successful passage of a criminal background check. Must be legally eligible to work in the United States without employer sponsorship. Three years of experience in an educational institution as a registrar, assistant registrar or related area, a strong computer background and supervisory experience desired.
