We have an exciting opportunity for a Tax Events Specialist in the Washington, DC office at Eversheds Sutherland (US) LLP. We are searching for someone who wants to be a valued contributor and member of a talented and dynamic team of lawyers, paralegals and business professionals.

 

The Tax Events Specialist is primarily responsible for planning, coordinating and executing on Tax Practice Group events. Working closely with the Tax Business Team, the Tax Events Specialist will work with attorneys and other department representatives to plan and execute a high volume of tax-related client events, conference sponsorships and exhibits, webcasts, retreats and other events.

 

This role also supports a variety of business development activities, including CRM work, creation of electronic communications (invitations, etc.), distribution of client gifts, and maintenance of the Tax team’s stock of promotional items. As part of a four-person team, this position will cross-train in other areas such as publications, social media, web presence, marketing materials, to serve as back-up when team members are traveling.

 

 

Responsibilities and Duties:

  • Collaborate with Tax Business Team and Tax attorneys to identify event objectives and budgets.
  • Research and recommend event sites and activities that support event objectives and budgets.
  • Works with Tax Business Team in negotiating and managing approved vendor contracts.
  • Develop event specifications and timelines, and ensure that all deadlines are met.
  • Coordinate logistics including: pre-planning meetings, providing bios, logos and other material; support of program development, food and beverage menu selections, creation of invitations and other communications, management of registration processes, onsite audiovisual/technical needs, etc. Responsible for shipment of appropriate materials to all Tax events.
  • Coordinate and execute online events (webcasts etc.). Quickly learn how to use firm technology if not already proficient.
  • Provide onsite support for certain meetings and events, including oversight of vendors.
  • Maintain inventory of tax promotional items (for events and other needs), interact with vendors, suggest new product ideas, ship items to tax events, and distribute individual client gifts as needed.
  • Lead coordinator of holiday gift ordering, tracking and distribution.
  • Leverages CRM to track event activity: set up new events in InterAction; pull RSVP lists for events; tag participants following events; add new data to the system when collected from events; update outdated contact information.
  • Tracks meeting and event expenditures to stay within approved budget.
  • Reporting responsibilities includes, but is not limited to, weekly status event report, ad hoc reports on specific activities, maintenance of Tax team calendar and presentation tracker. Consistently completes checklists for events to ensure proper execution.
  • Completes post-event tasks to include reconciliation of expenses, feedback on vendors, reporting on meeting results, saving event content and materials to iManage.
  • Documents event processes.
  • Supports practice with ad hoc duties given by Practice Group Director and other team members.

 

 

Knowledge, Skills and Abilities:

  • College degree in communications, marketing, public relations preferred.
  • Certified Meetings Professional (CMP) preferred.
  • Minimum two years of related experience in the meetings or events industry.
  • Knowledge of marketing and meetings/events disciplines; knowledge of meetings/events industry contracting standards and practices; proficiency in Word, Excel, and PowerPoint; familiarity with online registration systems; experience with webcasting; familiarity with client/contact management database; ability to prioritize tasks; strong organizational and project management skills; attention to detail; ability to work well under pressure; ability to meet deadlines; excellent writing and communication skills – must be able to communicate effectively with attorneys, firm executives, and outside vendors; strong client-service orientation. Position requires overtime and occasional weekends. Some domestic travel is required.

 

 

This is a hybrid role and will require on-site presence 3 days per week. Salary is commensurate with years of relevant experience & geographic location. The range for this position is $71,400 - $110,000.
