SUMMIT HOSPITALITY GROUP: RESIDENCE INN RALEIGH DOWNTOWN Catering and Sales Manager JOB DESCRIPTION

SUMMARY: The Hotel Catering and Sales Manager for the Residence Inn Raleigh Downtown is responsible for assisting the sales and operations teams to ensure that all pre-event, event and post-event phases of group events are executed and communicated appropriately. In property liaison that is the primary contact for the event planner. Advocate and participate in the seamless communication between sales and operations to ensure the success of the sales efforts and customer satisfaction.


JOB DUTIES AND RESPONSIBILITIES:

· The expectations of this position require a 40 hour work week which includes weekends/evenings (Saturday and/or Sunday). Hours beyond 40 per week must be approved in advance by your supervisor.

· Responsible for pre-event, event, and post-event planning, communicating, and executing

· Build and maintain strong group and event relationships

· Advocate service excellence, teamwork and an environment to have fun, learn and succeed

· Work effectively with upper management to communicate, collaborate and support the company/hotel objectives


JOB TASKS:

· Responsible for receiving all group event turnovers from the Director of Sales & the Sales and Events Manager.

· Responsible for double checking all event turnovers to ensure the room blocks are built correctly and all pertinent information is located in the appropriate fields

· Responsible for creating and maintaining an event file for each group event turnover

· Responsible for personal introduction as hotel contact for all customer events

· Responsible for communicating any changes, additions, cancellations to the sales, revenue management and operations teams

· Responsible for detailing all catering, audio visual, and miscellaneous items

· Responsible for creating, modifying, and distributing all banquet event orders

· Responsible for attending all BEO meetings to include F&B Manager & Chef

· Responsible for entering in rooming list or client requested reservations

· Responsible for ensuring that a method of payment is collected, entered into the PMS system and authorized prior to the event

· Responsible for following up with customer to ensure all pre-event information is collected to ensure a successful event (cut-off dates, introduction, welcome notes, credit card authorization, etc.)

· Responsible for posting & verifying all charges on group billing prior to sending to the customer

· Advocate and participate in the sales focus

· Communicate professionally, clearly and concisely in all written and verbal correspondence

· Submit time off requests in a timely manner for approval according to the policy

· Submit reimbursable expenses in a timely manner for approval according to the policy

· Conduct customer site tours & walk in site tours according to the site tour process

· Assist other sales team members when needed

· Understand and adhere to all processes and standards of the hotel and Summit Hospitality Group, Ltd.

· Effectively utilize all management, communication and organizational tools/systems to accomplish individual and team goals


QUALIFICATIONS:

· Prefer previous Marriott hotel experience

· Excellent guest service skills

· Highly organized and efficient; requires minimal oversight

· Excellent written and verbal communication skills

· Track record of effective communication skills among all department team members

· Working knowledge of Microsoft Word, Excel and Outlook

· Strong work ethic; must lead by example

· Ability to prepare, audit, and understand hotel banquet event orders, group actual reports and contracts

· F&B experience a plus

· CRM system experience (ie, Hotel Sales Pro, Delphi) a plus

· College degree or equivalent in Hospitality Management preferred

· Strong interest in further hospitality career development


REPORTS TO:

· Hotel Director of Sales


WORK ENVIRONMENT:

· Flexible work schedule

· Ability to lift 50 lbs

· Standing, sitting, walking, reaching and bending for extended periods of time

· Valid Driver’s license
