Primary Responsibilities
  • Manage the end-to-end claims process for commercial and residential properties, including Mitigation, Reconstruction, Contents, and other Environmental work
  • Receive, enter, route, and track emergency and non-emergency leads, jobs, and project referrals, and assign priority responders
  • Provide exceptional customer service by explaining claims procedures, scheduling work, conducting follow-ups and consultations, and maintaining customer check-ins
  • Maintain, organize, and ensure accuracy of project files (digital and non-digital), including field documentation, photos, scope notes, correspondence, and relevant forms
  • Maintain awareness of company-specific project cycle times for each phase
  • Create detailed project records, log notes, document stakeholder communication, and update project files daily in WorkCenter and other TPA platforms
  • Perform follow-up activities to gather missing data from various sources, including the Operations team, Estimators, clients, and insurance partners not obtained during the initial contact
  • Monitor all purchase orders, including subcontractor invoices, and track material receipts
  • Conduct daily reviews of compliance tasks, project statuses, works in progress, and update completion percentages
  • Initiate and send invoices for completed projects, including deposits or progress billings per contract schedules
  • Document and address customer service issues and complaints, tracking actions taken, follow-ups, and resolutions
  • Review and communicate job management reports with the team
  • Perform file closeouts, ensuring accurate dates, checking margins, and conducting accuracy and completeness audits
  • Handle general administrative tasks as required, such as preparing reports, correspondence, document copying and filing, data entry, and spreadsheets
  • Various other tasks as assigned
Position Requirements
  • 2+ year(s) of experience in a customer service, administrative or clerical role
  • Experience with project management, job file processes and quality assurance
  • Restoration/Construction industry experience a plus
  • Strong communication skills, both written and verbal
  • Exceptional interpersonal and customer service abilities
  • Outstanding organizational skills with keen attention to detail
  • Proven time management expertise, consistently meeting deadlines
  • Solid analytical and problem-solving capabilities
  • Effective task prioritization and delegation skills
  • Adaptable in high-paced and occasionally stressful environments
  • Proficiency in Microsoft Office Suite or related software
  • Ability to learn new software
  • Minimum of HSD/GED
  • Ability to successfully complete a background check subject to applicable law
Hours
  • Normal Working Hours - 40 Hours/week, Monday to Friday 8 AM to 5 PM
  • Flexibility to work overtime when required, including occasional on-call phone rotation responsibilities
  • Additional compensation or time-off arrangements may be applicable for on-call periods
