Position Overview: Seeking a highly organized and proactive Office Administrative Assistant to provide support to the COO/Managing Partners of a Body Shop Network. The ideal candidate would possess excellent communication skills, meticulous attention to detail, and the ability to multitask effectively in a fast-paced environment.
Key Responsibilities:
- Calendar Management: Assist in overseeing the COO/Managing Partner’s calendar, including scheduling meetings, appointments, conference calls, and coordinating with internal and external entities.
- Travel Coordination: Assisting in arranging travel accommodations, including flights, rental car/travel transportation, accommodations, for employees and possibly the Managing Partners.
- Communication: Assisting in collection and distribution of correspondence from Management to employees, ensuring timely responses and appropriate follow-up.
- Document Review: Preparing and editing correspondence, reports, and other documents in support to the COO/Managing Partners
- Meeting Support: Assisting in preparation of meetings, materials, presentations, and other support as needed related to action items discussed
- Data Management: maintaining and updating electronic and paper file records, databases, training files, and other data related to the business
- Project Support: Providing administrative support for special projects and initiatives related to the business, including research, data analysis, and coordination with other team members
- Other Support: Providing administrative support for other tasks associated with the business, as needed, including potentially running errands, scheduling personal appointments, and other assigned tasks.
Qualifications:
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams) and other relevant software applications.
- Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong communication skills, both written and verbal, with a high level of discretion and professionalism.
- Ability to maintain confidentiality and handle sensitive information with integrity.
- Flexibility and adaptability to changing priorities and responsibility.
- Proactive attitude, with a willingness to take initiative.
