Job Overview:

The Sales Assistant is responsible for developing and executing strategies and initiatives sold by the resort. This person works within the Sales & Marketing Department and works closely with the Director of Sales, Sales Manager, Banquets, Front Desk, and all necessary departments to ensure the best possible experience for the Groups coming on property.


General Responsibilities:

    • Work collaboratively with the Sales Team members to develop revenue maximizing proposals, based on supply demand and customer value.
    • Communicate results, challenges, and opportunities regularly, accurately, and professionally to the appropriate team members and DOSM. Effectively brainstorm with the same to minimize challenges and maximize opportunities.
    • Create review and obtain client approval signatures on BEO's and layouts.
    • Assist Group Leaders with Planning by helping to coordinate catering/meals.
    • Distribute BEO's to operations teams by email and review them at the weekly food and beverage meeting.
    • Build relationships with colleagues, professional organizations, and vendors/suppliers to uncover opportunities, leads, and ultimately sales.
    • Work with outside vendors to ensure objectives, standards, and safety are in line with property venue requirements.
    • Building groups, maintaining rates, billing, deposits, reports, rooming lists, reservations in PMS system and file maintenance.
    • Coordinates in- house events with guidance from the Sales and Marketing Team, as well as seasonal decorating assistance.
    • Monitor guest room block pick-up and advise client on attrition charges if bookings are low.
    • Obtain group room lists and accurately enter them into PMS system.
    • Assist with group check-ins as needed for larger groups.
    • Introduce the on-site banquet manager or banquet captain to group leader before or on their arrival.
    • Cross train with Front Desk, Banquet Manager, and Sales Manager.
  • All other duties as assigned.

Qualifications:

  • High school diploma or equivalent.
  • College coursework or degree, preferred.
  • Working knowledge of computers.
  • Must maintain a valid driver's license.

Experience:

  • Hospitality industry experience- group sales, reservations, front desk and/or sales & marketing, preferred.
  • Experience with Hotel Group bookings and reservation systems preferred.
  • Extensive experience with Microsoft programs required.
  • Experience learning and mastering software systems required.
