Purpose

The Mobile Health Aide is expected to assist patients and clinical providers through the process and procedures necessary for the patient to complete health care visits on Family Health La Clinica’s (FHLC) mobile health unit Assisting in the preparation, cleaning, maintenance, resupplying, and general operation of the mobile unit. Primary job responsibilities include interpretation between patients and non-Spanish speaking providers, gathering patient’s information for registration and clinical record keeping, and preparing patients for visits with the clinicians. Mobile Health Aides may be assigned duties with an emphasis on Clinical and / or Registration duties.

Essential Duties and Responsibilities

Clinical and Registration Mobile Health Aide duties

  • Adhere to OSHA & HIPAA requirements.
  • Provide Spanish/English interpretation for monolingual providers and patients.
  • Assist with notifying patients of results and recommended action.
  • Take turns driving company vehicles to state-wide locations.
  • Maintain inventory of medical and office supplies.
  • Maintain the cleanliness of the mobile unit and the van inside and out.
  • Maintain the cleanliness of the storage room and the mobile unit office in the clinic.
  • Complete set-up and break-down procedures at clinic sites including setting up and taking down tents, tables, chairs, and securing equipment for travel.
  • Maintains high customer service standards.
  • Maintains confidentiality standards.
  • Performs related duties as assigned.

Clinical Emphasis duties:

  • Obtain patient’s health information and health history.
  • Prepare patients for visits including measuring and documenting vital signs (height, weight, pulse, and blood pressure).
  • Set up for pelvic/PAP exams, and assist clinicians as needed.
  • Perform start-up of machines, run controls, and analyze to ensure maintenance and correct operation of machines.
  • Perform shutdown and cleaning of lab machines.
  • Obtain lab specimens as ordered by Provider and secure a requisition before performing tests. Prior to collecting the specimen, determine if patient has Medicare/needs ABN.
  • Perform lab tests as ordered after orders have been entered into chart by provider.
  • Informs Provider of lab results immediately.
  • Follows phlebotomy protocols.
  • Adhere to FHLC lab workflows and procedures following the guidelines under our CLIA certificate.
  • Maintain lab logs/records.
  • Monitor lab supply inventory
  • Accurately enter results into Electronic Health Record after requisitions have been created.
  • Accurately label all lab specimens with patient name, date of birth, date of service, time, and lab assistant’s initials at the time of collection.

Patient Registration Emphasis duties:

  • Open and correctly label a new billing batch each clinic day.
    • Collect complete registration information from patient, including full demographics, current phone number (multiple if possible) and both current and permanent addresses.
    • Ensure HIPAA and consent forms are current and scanned into patient’s chart in a timely manner.
    • Schedules patient appointments with professional staff, check patient in, and verify Medicare/Medicaid insurances.
    • Maintains cash box by collecting required payment, providing patients with a receipt, and balancing the cash box accurately at the end of each clinic.
    • Check all patients out for each day after providers have submitted superbills. Notify billing department when this has been completed.
    • Communicate regularly with staff to monitor patient traffic through mobile clinic and schedule/assist patients accordingly.
    • Assess patient eligibility for sliding fee discount program by completing necessary forms, collecting required proof of income, and accurately updating information in patient chart before the end of each day. Scan completed forms and proof of income into patient chart in a timely manner.
    • Refer patients to on-site Benefits Specialists to make financial arrangements and agreements that meet clinic and patient needs when necessary.
    • Assist with notifying patients of results and recommended action.

Lead for COVID-19 Clinic duties

  • Supports efforts to coordinate missions and serves as the primary contact for stakeholders during Mobile Health missions as delegated by the supervisor/manager.
  • Assists in training for new staff as delegated by the supervisor/manager and serves as a resource to all members of the Mobile Health Services team.
  • Works collaboratively with the outreach team and leads problem-solving efforts to maintain efficient patient flow and quality care during missions.
  • Support data collection and reporting efforts as delegated by the supervisor/manager.

Minimum Qualifications

  • To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
  • This position requires an individual, who can work independently, is able to work under pressure, is analytical and has excellent problem-solving skills.
  • The ability to respect the confidentiality of patient information while performing job duties. Ability to establish and maintain effective working relationships with patients, employees and public.
  • Must maintain a state of Wisconsin Driver’s License, as well as the ability to pass the requirements to complete the minimum requirements to operate a company vehicle.

Education/Experience Requirements

High School Diploma or equivalent required. Previous experience working in a health care setting is not required.

Language Skills

English and/or bilingual (English/Spanish) language required. Ability to read & interpret documents, reports & correspondence. Ability to speak effectively before groups and/or individuals.
