SUMMARY:

Under the direct supervision of the Nurse Manager, the Medical Office Assistant (MOA) performs general registration functions including appointment scheduling, insurance verification, collection of applicable co-pays and deductibles, manages the timely and accurate collection of important patient information, and functions as a resource to patients entering the facility. This staff member will also assist with the collection of COVID-19 testing specimens. Demonstrates superior relationship building and customer service skills. Has the ability to function in a multi-tasking, multiple priorities environment, while maintaining accuracy and attention to detail.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Register new and established patients for all specialties using the electronic record system as applicable, including completion of all required patient forms, accurate data entry, attachment of patient identification and updating patient information at each visit.
  • Perform verification of insurance eligibility, income verification and accurately records information and attaches insurance card in the electronic record system.
  • Collect, register and process COVID-19 registration and specimens using the electronic record system, as applicable.
  • Ensures appropriate linkage to an enrollment specialist for patients who are uninsured or underinsured for assistance with application for insurance benefits.
  • Maintain patient confidentiality at all times per the policies and procedures.
  • Maintain ethical behavior at all times per the policies and procedures.
  • Required to work within an assigned region that may require working at multiple health centers on different days or within more than one health center in a workday if coverage is needed.
  • Actively participates in daily huddles.
  • Respond to internal and external customer needs in a positive manner, utilizing principles of the AIDET model; exceeding their needs and expectations and providing the highest quality service to ensure the best possible outcomes.
  • Answer designated telephone calls, including MOD phone as assigned, in a courteous manner, appropriately routes communication, and responds to inquiries and documents as appropriate in the electronic record system.
  • Schedules, cancels and reschedules appointments for patients.
  • Collects and distributes internal and external mail as appropriate.
  • Conduct daily reminder and daily no show calls per the established procedure as assigned.
  • Completes all assigned administrative/phone messages, patient cases and eligibility issues within the electronic record system by the close of business.
  • Process new and established patients through the check-out process, as applicable, including collection of patient payments and co-pays at time of service providing receipt documentation, claim creation and submission, and scheduling of follow-up appointments as instructed by clinical staff.
  • Complies with all medical record requests within the established timeframe and protocol per administrative staff.
  • Performs daily cash reconciliation and batch close process at the end of each business day per process in an accurate manner.
  • Complete all Core Curriculum training(s) required for this position.
  • Perform all other duties as assigned.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

  • High school diploma or general education diploma (GED) or at least one year of previous customer service experience required.
  • Previous experience as a Medical Office Assistant strongly preferred.

OTHER QUALIFICATIONS

  • Reliable transportation
  • Bilingual skills (English/Spanish) a plus
  • Ability to work late evening hours, weekend hours, and scheduled holidays
