Job Description Cape Fox Facility Services is seeking an Operations Coordinator to join our team in Rockville, MD, in support of the NIH. Plan and coordinate meetings, conferences, and workshops with a focus on participant needs assessment, vendor relations, processing forms and paperwork for approval, site inspection, cost analysis, set-ups, audiovisuals, speaker procurement, guest transfers, transportation to and from meeting site, hotel reservations, and menu selection for breakfasts and luncheons. Serve as first point of contact for clients, vendors, and participants concerning meeting specifications, requirements, preferences, registration, confirmations, cancellations, schedules, and cost summaries. Track and summarize budgets for annual meetings and Cancer symposiums. Maintain files of meeting-related materials. Track all meeting costs from start to completion. Schedule appointments and maintain calendars for appointments and schedules. Prepare authorization for professional services performed by non-government travelers and prepare authorizations for payment after services have been rendered; submit for payment and approval by government officials. Make travel arrangements, including preparing itineraries, making transportation and hotel reservations; preparing travel orders and expense vouchers using the NBS Travel Manager System; and maintaining files on all travel. Type correspondence, manuscripts, etc. from rough draft or from Dictaphone to final form. Monitor the use of supplies and equipment for the office. Consolidate requests to prepare requisition requests. Organize and maintain office and various files. Process incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication. Track scientific papers.
