Summary/Objective

The primary function of the Construction Accounting Administrator is to support the Construction Department on the monthly Construction and Development draw process. Assists in preparation, review, and administration of contracts, bids, proposals, and purchase orders. Supports contract preparation and execution with suppliers, partners, or customers. Examines supporting materials and agreement documents related to bids or contracts. Acts as liaison between the organization and subcontractors to assist with contracts, submittals, and progress payments. Maintains contract records used to ensure compliance with reporting and regulatory requirements. This is a remote position.

Essential Functions

  • Performs the Construction and Development draw preparation - namely verification of waivers, invoice coding, photo documentation filing, tracking draw submission and approval from Air Force and Lender.
  • Aids in the preparation of contract agreements and purchase orders with specific vendors. Manages the document storage of these agreements.
  • Assists in evaluation of vendor proposals to ensure that all requirements are met.
  • Maintains database regarding vendors' performance and quality of product(s).
  • Subcontractor/Vendor Lien Waiver preparation and tracking.
  • Tracks Davis Bacon reporting submission from subcontractors.
  • Assists with Request for Proposals
  • Tracks and files documentation from Independent Construction Consultant
  • Assists with preconstruction meeting preparation.
  • Assists with subcontractor/consultant/vendor set-up in accounting system to include certificate of insurance verification and tracking, as needed.
  • Routinely tracks and provides monthly status updates on property claims in tracking software.
  • Main POC on vendor/subcontractor communication / coordination
  • POC on Construction and Development related Accounts Payable
  • Provides assistance and backup for month-end accounting activities as needed.
  • Ad hoc reporting as needed.
  • Assist with process improvement initiatives.
  • Internal controls and compliance reporting.
  • Performs other job-related duties as assigned.

Required Qualifications

  • EDUCATION - Preferred Associate's degree or higher (or equivalent experience) in Business Administration, Accounting, Finance, or a related field.
  • 3-5+ years of experience in the construction accounting industry with a property management focus.
  • Proven project management experience.
  • Experience with construction and job costing preferred.
  • Experience with supporting financial audits preferred.
  • Experience with RealPage Accounting System or similar accounting software preferred.
  • Experience with project management software, currently Monday.com.
  • Ability to obtain both a traditional Notary and a commissioned Notary to provide remote online notarization (RON) services. (If not present on hire, ability to obtain with 3 months of hire.)

Work Environment

While performing the duties of this job, the employee regularly works in an at-home office setting. Must be able to work from home with minimal distractions from outside sources (e.g., family, pets, etc.)

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Regular use of the telephone and e-mail for communication is essential. Sitting for extended periods and the use of hands to finger is common. Hearing and vision within normal ranges is helpful for normal conversations, to receive ordinary information, and to prepare or inspect documents. No heavy lifting is expected. Exertion of up to 10 lbs. of force may occasionally be required. While performing the duties of this job, good manual dexterity for the use of common office equipment such as computer terminals, calculators, and printers/copiers is needed.
