Responsibilities

This position will be responsible for providing office coordination and an extensive array of administrative and operational support activities at Agrecoms Iowa Office. The primary contact for administrative and operational contact for internal and external communications on complicated and confidential matters. The Administrative Coordinator is responsible for regular communication and coordination on behalf of the leadership team.The essential functions include, but are not limited to the following:

  • Administrative Services:
  • Provides office and administrative support at Agrecoms Iowa Office, coordinating and implementing day-to-day office functions to maintain a high-functioning work environment.
  • Purchases office supplies and maintains inventory of all supplies.
  • Ensure the facility is maintained for safety by keeping track of gate entry, security cameras, and keys.
  • Creates work orders to have work done around the facility and oversees the completion.
  • Screens and assesses incoming and outgoing correspondence via phone and email, and develops replies as needed or elevates correspondence depending on the situation.
  • Regularly reviews emails and accepts phone orders from customers. Completes orders as necessary. Orders for Pest Control / Orders for Applications / Orders for Chem Fresh
  • Managing Vehicle registrations and license renewals for vehicles in Iowa and notifying leadership when renewals are needed.
  • Serve as POC for Fleet Fuel Card issue, oversight, and management.
  • Working with the leadership team to file local regulatory paperwork. For business operations (with pest control boards etc).
  • Chem Fresh
  • Manage inventory of chemicals required for pest control, requesting purchases when needed.
  • Manage inventory of chemicals required for Chem Fresh oxide production, requesting purchases when needed.
  • Generation and tracking of all production certificates for Chem Fresh
  • Compliance with all Occupational Safety & Health Administration rules.
  • Pest Control
  • Works with site supervisor to request materials needed for pest control.
  • Verifying onsite pest control books are up to date and accurate.
  • Submitting a change of scope of services requests when changes occur.
  • Changing scope of service and pricing as needed.
  • Changing Maps for new Scopes of Service.
  • Submitting Map Changes for New Scope of Work.
  • Communicates service reports to customers.
  • Employee Appreciation
  • Keeps track, plans, and celebrates birthdays, work anniversaries, and holidays with staff.
  • Plans activities for staff and families to maintain morale and comradely.
  • Makes coffee daily and keeps a supply of snacks available for staff.
  • Provide as-needed updates to the management team on any morale challenges.
  • Training
  • Provides logistical support for monthly training. This includes setting up the training room, and providing meals and snacks as needed.
  • Supports the creation of training by creating material as needed.
  • Schedules technicians for licensing tests and physicals as needed.

Job requirements

  • High School Diploma or GED associate preferred.
  • 3 or more years in an office environment using computers and telephones to carry out diverse administrative duties.
  • Highly efficient time management skills and ability to prioritize tasks.
  • Excellent computer proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint
  • Ability to work with minimal or no supervision.
  • Self-motivated and effective in a team setting and individually.
  • Excellent verbal and written communication skills, including the ability to effectively communicate with internal and external customers.
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
  • Must be authorized to work in the U.S.
